TRUST SERVICES - Assistant Director for Planned Giving & Trust Services

Position summary

Reporting to the Director of Planned Giving & Trust Services, the Assistant Director for Trust Administration is responsible for all duties related to the life cycle of any trust or charitable gift annuity managed by the Office of Planned Giving & Trust Services.  This would include both the administration of all such trusts and charitable gift annuities and stewardship of related donors.  

Qualifications summary

Has a bachelor's degree, preferably in accounting.  Maintains the North American Division Trust Officer Certification or is willing to obtain certifcation within the first year of employment. 


Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities

Trust Administration
Directs the process and procedures required at set up of any new trusts or charitable gift annuities. 
After donor executes new documents, assists them with the transfer of assets into their trust through proper legal titling, seeking legal counsel when necessary and collecting documentation to support all such transfers.
On a regular basis, reviews the individual estate plans with our trustors.Communicates with the estate planning attorney in order to accomplish any needed/requested changes to the legal plan of our current trustors.
Works with trustors to keep a current list of their assets on file, again collecting documentation to support all transfers into trust.
Follows through on any requests for assistance that come up related to trustors and annuitants and their estate plans.
Is responsible forall accounting processes related to trusts, charitable gift annuitiesand active power of attorneys, and any decisions related to the maintenance and choice of software used for the trust accounting.
Prepares all reporting needed for tax purposes, for donors, for administration, for the North American Division or to meet various state requirements.
Directs the very detailed and time-consuming process of closing an estate when necessary.
Oversees the creation, maintenance and office use of a checklist system for all events requiring multiple tasks to bring project to completion.
Is a member of the Andrews University Trust Committee and the Trust Investment Subcommittee which oversee and guide the operations of the Planned Giving & Trust Services program and the investment of any trust assets.Assists Director with preparation of minutes for both committees.
Supervises preparations for the three-year trust audits by the General Conference Auditing Services.
Maintains current North American Division Trust Certification standing by fulfilling all continuing education requirements.
 
Stewardship
Oversees a formal stewardship process for members of the Daniel Augsburger Society, specifically those who have worked directly with our office in setting up an estate plan or planned gift.  This would include, but is not limited to, coordinating and implementing an appropriate welcome process, annual event, newsletter, Focus annual report, visits, and touch points throughout the year such as sending birthday/sympathy cards, holiday card/gift, courtesy cards, etc.
Travels when necessary to visit trustors/annuitants.
  

Supervisory responsibilities

Supervises, delegates and oversees the work of the Student Assistant.

Qualifications

Performs normal professional duties and has a strength for organizing many details.  Is in the habit of completing tasks and projects in a timely fashion. Is able to keep all personal information about trustors/annuitants confidential. Through experience or on-the-job training, has acquired a limited ability to read and understand some legal documents as well as mastered routine trust accounting tasks.   Demonstrates excellent relational skills and enjoys helping others. 
EDUCATION and/or EXPERIENCE
Has a bachelor’s degree, preferable in accounting. 
LANGUAGE SKILLS
Proficient in both verbal and written usage of the English language.   Must be able to speak clearly with a strong voice due to the age of many of the Planned Giving & Trust Service’s constituents. 
MATHEMATICAL SKILLS
Has basic math skills and the ability to know how and when to apply them to solve a particular accounting problem or task.
REASONING ABILITIES
Is able to closely follow instructions, work independently, read technical estate planning manuals, including the General Conference Trust Services Manual, and apply standards to trust and annuity files for maintaining accreditation.

Technical competencies

Is proficient and comfortable in operating a PC for such reasons as sending and receiving email, operating word processing and spreadsheet software, handling the trust accounting processes, and navigating the internet when appropriate.  Has the ability to operate the local personal computer, laser printer, telephone, calculator, fax machine, typewriter and GPS. 
 

Interpersonal interactions

Must be comfortable interacting with individuals of retirement age, being able to project your voice when necessary.  Must be an engaged listener.

Physical demands

A good portion of the day is spent sitting at a desk, but standing and walking are also necessary.  Some travel, ground and air, is required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
