DEAN - GRADUATE STUDIES - Assistant to the Dean: Project Manager

Position summary

Employee will provide highly advanced (senior-level) professional assistance work for the associate provost and dean of the School of Graduate Studies & Research. Provides project management and coordinating/overseeing of high level administrative operations in the office of the associate provost. Works under minimal supervision with autonomy for the use of initiative and independent judgment.

Qualifications summary

Education and Experience 

  1. BA/BS degree required or university program certificate

  2. Two to four years related experience and/or training and/or equivalent combination of education and experience.

  3. Credentials in Project Management preferred

  4. Continuation Education and Licensure in the field preferred

  5. Experience in Project Management in Non-profit Organizations  

  6. Master’s degree preferred

  7. Experience in project management in non-profit organizations and strategic planning preferred

  8. Must be skilled multi-tasking and maintaining attention to detail

  9. Familiarity with financial analysis and reporting

  10. Must be able to work independently but also know when to ask for more clarification and guidance.

  11. Must work well with diverse groups of students, faculty and colleagues

  12. Must have excellent communication skills

  13. Ability to speak a language other than English is always helpful in our office

  14. Computer and information literacy are essential 




Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities


  1. Serve as project manager of initiatives, including but not limited to:

    1. Updating Faculty Working Policy

    2. Executing Faculty Institute

    3. Creating and maintaining the Faculty Development Calendar

    4. Executing Faculty Development Programs

    5. Planning and executing the Graduate Students’ Orientation

    6. Planning and executing programs to nurture the growth and development of graduate students, such as, consecration services, summits, retreats, etc.



  2. Facilitate and/or coordinate project related meetings (for example Faculty Institute, committees, etc.) including logistics planning, agenda setting, and note taking.

  3. Actively keep the dean team up to date on project status and maintain strong communication among all stakeholders in the projects.

  4. Execute and carry through on special assignments in a timely manner.

  5. Represent the Dean as requested at meetings related to special projects and other collaborative initiatives.

  6. Assess ongoing projects and initiatives the determine relevance and engage in improvement.

  7. Perform needs assessment to identify new projects and initiatives.

  8. Engage in the strategic planning/thinking processes of the school to ensure that its goals are realized.  

  9. Evaluate and prioritize matters referred to the office and act or recommend action to the Dean.

  10. Maintain a broad knowledge of university policies, university programs, special projects, and consult regularly with the dean on all matters.

  11. Participate and share ideas in meetings scheduled with the dean.

  12. Research, write and edit activity reports, correspondence, memoranda, and policy guidelines for review by the Dean.

  13. Serve on committees as requested by the Dean.

  14. Provide confidential administrative support to the Associate Provost and Dean of the School of Graduate Studies & Research.

  15. Manage the budget for the School of Graduate Studies & Research.

  16. Serve as the senior member of the dean’s office staff.

  17. Assist in the preparation of the school’s budget in consultation with graduate enrollment and the dean’s office.

  18. Perform other duties as assigned.
