Position summary
Full range of administrative duties including such tasks as: daily organization of basic office procedures and clerical duties; keeping regular office hours and maintaining office environment; create/maintain/edit records/files for faculty, on campus classes, as well as distance education classes; computer entry and knowledge of computer programs; organization of workshops/seminars/receptions; relate well with and advises/encourages students appropriately; fulfill other duties as assigned.
Qualifications summary
- Bachelor degree and administrative assistant experience preferred.
- Computer literate in knowledge of WP, WORD, Power Point, and Excel and aggressive in learning new programs.
- Concern about spiritual well-being of student, staff and faculty.
- Excellent English language skills in speaking and writing.
- Must be able to multi-task with frequent interruptions, and work without direct supervision.
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities
- Organizes office procedures such as information management, filing systems, requisition of supplies and equipment, and other clerical duties
- Maintains records and files for classes taught within the department as well as distance education classes
- Ordering textbooks, reserving books in the library, processing course materials/documents for duplication
- Manage faculty calendar and schedule appointments and meetings
- Coordinates all matters related to distance learning examinations
- Keeps regular office hours, in charge of office environment
- Process forms for the department
- Design announcements for department events and seminars
- Registers and administers challenge examinations
- Manage/proctor distance education student exams
- Ability to organize workshops and dedication receptions
- Various other duties as required
Supervisory responsibilities
- Keeping record of graduate assistant hours
- Challenge/distance education examinations
- Annual workshop coordinator/reception event planner
Qualifications
Bachelor's degree preferred with emphasis on secretarial, communication, or educational skills, or equivalent in experience.
- Computer literate in knowledge of WP, WORD, Power Point, and Excel and aggressive in learning new programs.
- Excellent English language skills in speaking and writing. Verbal skills in other languages useful, but are not required.
- Concern about spiritual well-being of student, staff and faculty
- Positive spiritual attitude and commitment to mission of the seminary and the Church
- Experience in academic environment preferred
- Detail oriented and well organized, able to multi-task
- Good interpersonal, intercultural and communication skills
- Student oriented
- Graphic skills desirable, but not absolutely necessary
- Being able to edit professor projects/articles
