HUMAN RESOURCES ADMINISTRATION - Employment/Student Insurance Assistant

Position summary

Assists with employment processes, education of other departments with their part in the hiring process, and explains group insurance policy to students, answers requests by mail, phone or in person questions from students/health care providers and others regarding insurance information.

Qualifications summary

Proficiency in office/clerical/computer skills needed (Must submit Office skill test results).  These can be acquired by study and /or experience.  A minimum of six months to a year is required to become acquainted with the institution and procedures of the job.  High organizational, prioritizing and communication skills are needed.  Accuracy and confidentiality is a must. Must be willing to work 9-12pm ( M-F) or  2-5pm ( M-Th) each day. Willing to put in extra hours at the beginning of each quarter and throughout the year as needed.


Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities

Assist with maintaining job board and web page.
Answer questions regarding on-campus employment.
Assist in the appropriate collection and processing of employment paperwork.
Assist with providing departments with knowledge of both state and federal requirements for employment eligibility, including minors and international students.
Assist in the monitoring and notification of students and their work eligibility in regards to immigration regulations on maintaining required student class load. 
Assistance with maintaining and updating student employee information. (Rate changes, terminations etc.) 
Assist with student supervision. 
Receives. enters and maintains student insurance forms (including waiver information) and maintains applicable records.
Explains insurance coverage as well as updating documentation required by the company by phone.
Resolves accounting system problems related to insurance data entry.
Searches company records to obtain information requested by students/health care providers. 
Mails or gives out specified forms and routes completed forms to appropriate location. 
Files records of insurance transactions and expiration dates of policies.
Fills in data on all policy applications and forwards applications information to insurance company.
Compiles statistical data for reports to insurance company and University.
Assist in the administration of office skills tests to all student employee applicants.
Will serve as a backup to Human Resource functions
Access to student and occasionally staff records.  Confidentiality is required for all information viewed or received.

Supervisory responsibilities

Assist with supervising student employees.

LANGUAGE SKILLS
Ability to communicate fluently in English is required.
Ability to read, analyze and interpret general procedures.  Ability to write reports, business correspondence.  Ability to effectively present information and respond to questions from groups of employers, students and the general public.
 
MATHEMATICAL SKILLS
Basic accounting skills are necessary for the student insurance.
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions an decimals.


Must be a Seventh-day Adventist in good and regular standing.

Technical competencies

Ability to learn new computer systems quickly and understand the flow of information between internal and external systems.
Have fast typing speed.

Interpersonal interactions

Ability to work with all types of personalities in challenging situations as well as posse tact, empathy and good telephone manners.
Must  be alert and accurate especially under great pressure which usually comes at registration times.  Ability to relate to employees in a professional yet compassionate manner.  Must be able to help create and maintain a calm and controlled atmosphere during intense confrontations.

Physical demands

Some physical effort but mostly sitting.

Work environment

No particular work hazards.  Irregular working hours needed especially during registration and billing periods.
