Position summary

This position plays a pivotal role in the function of the large and vibrant department. Responsibilities include the capacity to deal efficiently with multiple office and administrative tasks, communicate well with diverse stakeholders, and establish a strong customer service environment for the departmental office.

Qualifications summary

Strong interpersonal and communication skills; good computer use skills; trackrecord of managing multiple responsibilities in an orderly and efficient way, with prior successful office experience preferred.


Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities

Core duties of the biology administrative assistant include:

  1. Serves as primary contact person/customer service representative between the Department of Biology and various stakeholders, on and off campus.

  2. Manages communication with prospective students, with emphasis on excellent service.

  3. Manages daily to monthly departmental operations such as routine communication with University administration and stakeholders; authorization and payroll for student workers; orders and expenses for departmental business; and maintaining departmental records and databases.

  4. Provides direct administrative and clerical support to the department chair and faculty, and to the Professional Recommendation Committee.

  5. Coordinates annual events such as departmental socials, the mailing of BioFeedback, and the departmental safety meeting.

  6. Manages the copy machine for the Science Complex.



Supervisory responsibilities

The biology administrative assistant manages the timeclocks for student workers, and may have direct supervisory role for a student assistant if workload requires.

Qualifications

Qualifications:
Good interpersonal skills; effectively communicates with persons of diverse backgrounds and personalities. Strong language skills: effectively reads, writes, and speaks in English. Manages multiple responsibilities and maintains an organized work environment. Works efficiently with Microsoft Office (especially Word and Excel), with strong word processing and moderate quantitative skills.  Able to learn new computer software. Successful previous office experience strongly preferred. Education: Associates Degree or equivalent (Bachelors Degree preferred).


Must be a Seventh-day Adventist in good and regular standing.

Technical competencies

Good facility with Microsoft Office (especially Excel).
Demonstrated adaptibility; able to learn new skills  as needed for work.
Prior experience with database software valuable.
Writes and speaks well in English.

Interpersonal interactions

Able to interact comfortably with diverse stakeholders: faculty, students, fellow admin assistants, external vendors, etc., who represent diverse cultural backgrounds.

Physical demands

No specific abilities other than the abilities needed to do office work, move freely around the department and across campus to accomplish work-related tasks, use a computer for multiple hours a day as needed, etc.

Work environment

Primary work done in a regular office with most work done at the computer or desk, with some work involving movement around the department and across campus.
