New Andrews ID Cards

A switch to new Andrews University ID cards is underway. The cards have arrived and printing of the new ID cards will begin this week.

The new cards require a color ID photo. All faculty and staff who do not have a color ID photo from the last three (3) years are required to have a new photo taken. Today, from 11:30 a.m. to 5 p.m., faculty and staff can have a color photo taken and a new ID card printed in the Campus Center lobby. From Friday, August 15 through August 29, faculty, staff and student employees can go to AD 306 during regular business hours to obtain their new ID card.

Shortly after the new ID cards are distributed, all digital time clocks will be modified campus-wide.  During that one-day time period, minimal disruption is expected for hourly employees using a digital time clock; however, some managers may need to manually input their employee’s hours. (See http://www.andrews.edu/hr/documents/TimeManagerManual.pdf for more information.) After the digital time clocks are modified, only the new ID cards will be compatible.

The new cards, much like the old ID cards, will be used for time clocks for all hourly workers, Dining Services meal accounts, bookstore and computer store purchases, and library services. The new cards utilize proximity detection rather than a magnetic strip, a more secure system. The new technology is more difficult to replicate and will, over the next several years, increase ease of building access and enhance building security across campus.
  
The most notable upgrade with the new ID card system involves a long-range plan to have key card access to exterior doors on most campus buildings. The new cards will be, initially, used primarily for building access by those living in the residence halls. Over the next several years, other buildings will be equipped with compatible key card access readers.
  
The new cards will contain one of three new designs: the International Flag Mall backdrop photo for all AU faculty, staff and students; an Andrews Academy backdrop photo for all Andrews Academy faculty, staff and students; and a Ruth Murdoch Elementary School backdrop photo for all RMES faculty, staff and students.
  
As with any new system, there may be disruptions along the way. We ask for your patience and understanding during this time.

The schedule for distribution and time-clock modification is as follows:

August 12
Last day for faculty/staff to have their photo updated, if needed, for pre-printed ID cards. Color photos are required for new cards.

August 14, 11:30 a.m.-5 p.m.
Employee ID card distribution in the Campus Center, first floor lobby, for all faculty, staff and employed students. Please bring your old ID card with you as it will need to be turned in when you receive your new card. 

Time clocks campus-wide are modified.

August 15, 9 a.m.-Noon
Continued distribution of new ID Cards from AD306

August 17, 9 a.m.-6 p.m.
First Stop: New ID cards for freshman and other new students distributed at the Howard Performing Arts Center

August 18
Andrews Academy cards delivered to Academy
Remainder of student’s cards preprinted
Distribution begins of student ID cards
Distribution of employee cards continues

All pre-printed cards and new cards printed from August 18-29 will be available in AD306 during the following times:
9 a.m.-5 p.m., Monday-Thursday and 9 a.m.-Noon, Friday, including Registration Day, August 24, Noon-3 p.m.

August 19 
Cards distributed to Ruth Murdoch Elementary School for 7th and 8th grade students by 10 a.m.

September 2
ID card pickup and pictures returns to Academic Records, 2nd floor of Ad Building
