OUTGOING STUDENTS:  If you have questions about transcript requests, you may email transcripts@andrews.edu or call 269-471-3443 with the following information ready:  your name, school (Andrews and/or Griggs) and ID number (Andrews and/or Griggs).

INCOMING STUDENTS:  If you have questions regarding your incoming transcripts from other institutions to Andrews, please contact Enrollment Management at 269-471-6049 or email enroll@andrews.edu.

The Office of Academic Records provides the service of transcripts to Andrews University alumni and former students.  Regularly processed (3-5 business days) transcript requests sent by regular mail are provided for free as a service to students, former students and alumni, while the options of express processing and/or express mailing are each available for a charge.  You have the option of requesting your transcripts online, by mail, by fax, by email, or in person.  We do not process any transcript requests by phone.  

Please visit our Express Transcripts Requests page listed above for information regarding expediting processing and/or mailing available for a fee.   Any transcripts which are not indicated as needing express processing and/or express mailing will be assumed as regular for that given area.  If you do not indicate express processing AND express mail, your transcript request will be processed with regular service, which is five business days, and sent by regular mail, which is dependent on distance and subject to mail delivery times.  You MUST select these options on the form or through the online ordering system.  The comment box serves as a place for additional instructions only.  Please note that if you order express processing and/or express mailing, there are fees involved.

The following list of information is required to submit a request:

Required Information:

  • Your complete name and any former names you had while attending Andrews
  • Today's date
  • Social Security Number
  • The signature of the student
  • Your daytime telephone number
  • Your Andrews ID number
  • Specific term and year you were last registered (Example: Spring 1996)
  • The number of copies needed
  • Your mailing address
  • The mailing address for the transcript (if different from your own):  Transcripts WILL NOT be emailed or faxed to recipients, including schools or businesses.
  • Type of mailing service (Please see Processing & Mailing Information)

To submit a request in person, please feel free to visit the front counter of Academic Records between 9 AM and 5 PM Monday through Thursday and 9 AM to noon on Fridays.  Students have the option of requesting a transcript for pick-up, and identification must be presented at the time of pick-up.  If you have authorized a third party to pick up your transcript, you must provide a letter for them stating this permission.

To request by fax, print out the Transcript Request Form and fax the correctly filled out form to 269-471-6001.  The transcript request will be entered into Vault and students may check the status of their transcript request in Vault (How do I check the status of a transcript request?) .  Students may submit a request to receive unofficial transcripts by fax. 

To submit a request by mail, please print out the Transcript Request form and mail the completed form to the following address:

Please read carefully the following instructions concerning Regular Transcripts:

Regular Transcript Requests

Please note order processing times and mail times may be affected if they fall over an observed holiday.
If you do not indicate express processing AND express mail, your transcript request will be processed with regular service, which is five business days, and sent by regular mail, which is dependent on distance and subject to mail delivery times.  You MUST select these options on the form or through the online ordering system.  The comment box serves as a place for additional instructions only.  Please note that if you order express processing and/or express mailing, there are fees involved.
  • Regular Processing Service:  Processing time for regular service transcript requests is an estimated minimum five business days in addition to regular mailing service times which may be affected by mailing distance.
  • Regular Mailing Service is available as a courtesy for no fee.  Transcripts go by regular mail.

IMPORTANT INFORMATION:

  •  If the transcript delivery address is incorrect and the transcript is undeliverable and is returned to Academic Records, you will receive notification that your request address was incorrect.  You must then submit another transcript request with a corrected address.
  • A separate request must be submitted for each address that should receive a transcript.
  • Students do not receive a confirmation email after placing the transcript request online.  Once your transcript is entered online, you may check the processing and mailing status through the Transcript Requests menu.
  • Academic Records does not verify if transcripts have been received by the intended recipient.  It is the responsibility of the student to confirm with the intended recipient of the transcript that it has been received.
  • The Office of Academic Records will provide official transcripts to students only if they are financially cleared; if they are not, a transcript may be ordered if the transcript is for employment purposes.  The online ordering system will portray a red notice if you have any financial balance.  This will prevent you from ordering transcripts online.  Please contact Student Financial Services to inquire about or resolve financial matters.
  • Transcript Request forms will only be processed if they are signed.
  • The official transcript lists your Andrews ID, birthdate and your name for identifcation purposes.  These elements cannot be removed.
  • We process transcripts for Andrews University courses only.  We DO NOT provide transcripts received from other institutions.  The official Andrews University transcript lists only Andrews credits.  Transfer credits used towards Andrews degree requirements are not reflected on official transcripts, but the transcript will state:  "Transfer credits were accepted to fulfill degree requirements.  For students who graduated after the Fall of 1996, transfer credits will not be printed."
  • High school transcripts are processed by Admissions.  Please consult Admissions if you have questions regarding your high school transcripts.

Grades and Graduation

  • Once your request is entered online, it is immediately processed and so we are unable to change information before processing and mailing.  This information includes:  grades, name changes, and addresses.  However, there are option boxes on the hard copy form and in the online ordering system that give you the option of asking for us to delay until grades and degrees have been processed.
  • Students cannot initiate name changes through Transcript Services but must make that request through the front desk of the Office of Academic Records.
Online Transcript Requests

Current students and alumni can now log in to Vault using their Andrews username and password to order transcripts online.  In order to request a transcript online, you must have an active Andrews username and password so you can access your account (please read How to Activate Your Andrews Username and Password).  The following steps will guide you to placing an online transcript request once you have activated your account:

 1.  Once you are in Vault and can see the main home page, there are a series of tabs to the left.  Please select Registrar.

 2.  The next series of tabs will offer you services by the Registrar, including Transcript Requests.  Please select Transcript Requests.

 3.  In the next step, Vault will give you the option of entering a new request or accessing a comprehensive status of fulfilled requests. Select Enter Transcript Request.  The online Transcript Request form will appear, including a summary of your financial picture, your contact information and selection fields for completing the request. 

Please note:  Students are responsible for verifying the correct address and for printing legibly on the request form.  Taking the time to verify and call business or academic institutions for the correct mailing address will save you time.

The Transcript Request Form is made available on the Internet in PDF format for alumni who DO NOT know their Andrews ID number and DO NOT have an off-campus e-mail address on file with Andrews or do not wish to use the online transcript request. If you do not have the Adobe Acrobat Reader, you will need to download (one time) the free PDF viewer, and install it.   Any hardcopy transcript forms received by fax, in person or by mail or scanned forms received by email that are not signed will not be processed.

Please note: The Office of Academic Records reserves the right to charge for transcript requests made in excess of the allotted number allowed per month for each individual. The individual will be contacted with the cost when the allotted number is exceeded. The excess transcripts will only be processed once payment is made. 

Checking the Status of Your Transcript Request

Students may check the status of their transcript request by logging into Vault by accessing the Registrar option, and then accessing Transcript Requests.  This will show an option for a menu which displays the status of your transcript request. 

PLEASE NOTE:  We do not inform parents on the status of transcript requests placed by their students, or any other private educational information as defined by FERPA, unless the student has provided written documentation in the form of the FERPA permission document giving permission of release of information to their parents.
