LIBRARY - MelCat/Circulation Supervisor

Position summary

Assists with the day-to-operation of the circulation desk where the majority of contact interactions take place in the library. This includes assisting with the scheduling and training of circulation student assistants; assisting with the operation of the circulation desk; including the checking in and out of general circulation items, reserve materials and interlibrary loan items; maintaining the patron database; tracking usage etc. in the automated circulation system; and providing other public services as required. Assists in the processing and tracking of MeLCat items and in the administration of the MeLCat system. Assists in the invoicing of lost materials and tracking materials not returned by delinquent patrons.

Qualifications summary

Qualifications: preferred

Education: Four years of college.

Experience/Skills:

1. Experience working in an academic library and the ability to use the Library of Congress classification system.

2. Experience using automated library systems, particularly Innovative Interfaces Inc., Knowledge of or abiitiy to learn the use of OCLC modules, Ciio ILL software, bibliographic databases, etc.

3. Knowledge of photocopiers, printers, and other office equipment.


Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities

TYPICAL DUTIES:

1. Assists with the day-to-day operation of circulation services and the supervision of student assistants.

2. Learns, uses, and maintains a working knowledge of the library’s automated circulation module and other technologies as they pertain to the administration of circulation services and service delivery.

3. Assists with training and supervising student assistants in checking materials in/out; notifying patrons of overdue materials; sending out recall notices; placing holds on books, opening and closing procedures; cash drawer and change management; sorting materials for re-shelving; and processing renewal requests made via telephone, voice mail, and email.

4. Oversees the processing of MeLCat requests, monitors incoming and outgoing requests, and solves problems in the operation of the MeLCat service.

5. Responds to requests for information and assistance or refers inquiries to a professional librarian.

6. Assists in tracking MeLCat requests whether from other libraries or from Andrews University library patrons.  

7. Assists in the preparation of daily reports of circulating MeLCat materials both incoming and outgoing.

8. Understands how patrons search for and request items in the MeLCat system.

9. Uses knowledge of various software programs such as word processing, spreadsheets, email, and sophisticated library automation modules to carry out duties in an effective and efficient manner.

10. Assists in checking out keys to student assistants for all library departments.

11. Serves on library committees as requested.

12. Backs up Head of Patron Services.

13. Attends staff development workshops and seminars.

14. Other duties as assigned.

Supervisory responsibilities

Assists with training and supervising 10-15 student assistants.

Qualifications

Education:        Two years of college.

 

Experience/Skills:

1. Excellent interpersonal skills, oral and written communication skills, and professional presentation. Sufficiently articulate to communicate Library policy and administrative regulations to the general public and handle complaints in a tactful manner.

2. Must be highly reliable, show initiative, good judgment, and attention to detail.

3. Must be able to adapt to a wide variety of tasks and concentrate despite frequent interruptions.

4. Ability to negotiate effectively with campus departments, MeLCat library contacts, and other organizations when appropriate.

5. Ability to use a personal computer and various software packages such as word processing, spreadsheets, email, bibliographic databases, and sophisticated library automation modules. Proficient in Internet searching.

6. Ability to work independently and proceed with objectives without direct supervision.

7. Proven experience supervising student assistants with flexibility and firmness.

8. Ability to work cooperatively with all levels of staff and patrons.

Technical competencies

Able to create spreadsheets, search databases using boolean operators, advanced abilty to utilize the sophisticaed library software. Sophisticated knowledge of hardware such as scanners, photocopiers, printers, phones, laptops, and other office equipment.

Interpersonal interactions

The Patron Services Assistant has written, telephone, and in-person contact with the following groups on a routine basis: employees in the library, employees of the University, students, and the general public.

Has contacts with colleagues at other libraries as part of circulation and interlibrary loan duties.

 

 

Physical demands

Physical strength and stamina: work entails continuous standing, walking, bending, lifting, climbing and reaching as well as exposure to dust. Staff push book trucks weighing up to 600 pounds. Must be physically able to operate a variety of automated office machines, which include computers, printers, typewriters, facsimile machines, copy machines, calculators, telephones, etc.

Work environment

The work environment is a heated and air-conditioned open office setting. There is moderate noise from office printers, traffic from student and staff moving through the open office area, and some conversations with patrons or colleagues.
