Position summary

The DMin Adm. Assistant for Learning and Assessment administers strategic academic and evaluation procedures for the Doctor of Ministry program. This person interprets, applies and recommends policy changes to and/or with the DMin director; and provides global service and support to more than 300 students, 150 advisors, 33 instructors, and 13 concentrations, representative of more than 39 countries.

Qualifications summary

Bachelor's degree (or its equivalent) desired and 3-5 years of work experience in education, communication, or denominational organization. Excellent verbal and written communications skills required in both English and Spanish. This individual must be highly organized and provide oversight for all ongoing projects and assure deadlines are met in a timely manner. Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities

- Assures the administration of optimal learning environments for various DMin sites (on- and off-campus).
- Expedites course requirements information to participants and instructors in preparation for intensives.
- Monitors and supports the progress of students through the program, ensuring that DGs are cleared appropriately.
- Ensures that participants know how the editing process works thus facilitating the communication between students, advisors, editors, and the DMin project coach.
- Assigns project documents to appropriate editors (English, Spanish, and Portuguese editors) in preparation for oral assessment and subsequent electronic publication.
- Liaises between participants, advisors, instructors and concentration coordinators on university and DMin program policies and procedures.
- Advises participants, advisors and university faculty and staff on pre- and post-oral assessment procedures.
- Coordinates the scheduling and implementation of the oral assessment process on the established dates. Including but not limited to: scheduling dates with the participants, the oral assessment chair, advisors and second readers; securing a third reader; distributing physical and electronic documents (DMin project, assessment documents, and the Ministerial Development Plan reflection paper); and providing the technical support for the video conferencing platform when needed.
- Secures the final authorization signatures from oral assessment committee members, the DMin program director and the seminary dean along with the revised post-oral assessment project document for editing and publication.
- Implements and manages the online publication and distribution process for the final DMin project document through collaboration with the James White Library, the AU Digital Library, The School of Graduate Studies, ProQuest, and the DMin participant.
- Advises participants, advisors and university faculty and staff of graduation ceremony information, application requirements and deadlines for each semester. 
- Audits each participant’s transcripts as they are ready for graduation in accordance with program and university policies.
- Completes and submits recommendations for graduation and check sheets of program concentration requirements to the Office of Graduate Records for every eligible candidate, after signatures from the program director and seminary dean have been obtained and copies retained for the DMin office.
- Create lists, reports, and documents to confirm DMin program completion of each eligible graduation candidate, and submits them to the Office of Graduate Records.
- Collaborates with the DMin program director, advisors and AU Office of the President on the graduation ceremony facilitating the hooding process of DMin candidates.
- Supervises and implements the inventory, rental, and maintenance of the DMin-owned sets of graduation regalia every semester. Coordinates with other professionals who make their regalia available for rental as well.   
- Reviews and provides input to the program’s ATS accreditation reporting and compliance processes in conjunction with the Seminary Assessment Coordinator, Seminary Deans Office, Office of Institutional Effectiveness and School of Distance Education. 
- Gathers program assessment data, participant/staff contact information and other projects as assigned by the Seminary Assessment Coordinator and Office of Institutional Effectiveness.
- Facilitates "question & answer" sessions, and re-orients, students, faculty and staff about DMin program policies, procedures and learning modalities.
- Conducts research, aggregates data and provides reports for the DMin program and Dept. of Christian Ministry upon request.
- Other assignments as provided/sanctioned by the DMin director.

Supervisory responsibilities

- Manages the DMin program editing process in collaboration with the Dmin editors (English, Spanish, and Portuguese).

Qualifications

- This position requires a candidate with excellent written and verbal communication skills both in English and Spanish. Routine correspondence requires tact, accuracy and clear/concise expression of thought.
- Excellent administrative skills, along with strong interpersonal, computer, analytical, and motivational skills.
- Strong organizational skills and a proven track record of meeting deadlines and timely delivery of all project-related deliverables.
- Proficient educational administration experience, including leadership, supervisory, project management and implementation methodologies are preferred.

Technical competencies

- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, totals, volume and deciphering of credit hours is essential.
- Proficiency of word processing is a must. Ability to gain knowledge in other computer programs and technical aspects are expected.

Interpersonal interactions

- This candidate will be in constant interaction with students, advisors, faculty, and staff. Must be able to communicate effectively and be courteous with everyone in order to create and maintain positive relationships.
- This position includes dealing with ministers in the field, so, familiarity in church organization and leadership would be especially valuable.
 

Physical demands

While performing the duties of this job, the candidate will regularly do normal office activities and operate standard office equipment.

Typical office conditions. Noise level usually very low.
