Position summary
The Graduate Enrollment Coordinator performs all functions to recruit, admit, and enroll prospective students into graduate programs. Therefore, the Coordinator works with the Director and the Graduate Enrollment and the Marketing and Recruiting Coordinator to create and execute the marketing and recruiting strategies to promote AU graduate programs in order to meet recruiting targets.

Duties and responsibilities
Recruiting Responsibilities
- Research the marketing and recruiting field to provide new strategies in order to increase the yield rate from recruit to applicant.
- Develop and manage marketing plans, direct mail campaigns, publications, advertising, special events and media relations among others.
- Work with the Graduate Marketing and Recruiting Coordinator to create new and edit existing recruitment publications.
- Work with the Graduate Marketing and Recruiting Coordinator to plan and execute new strategies to improve the recruiting efforts domestically and internationally.
- Plan and execute on-campus and off-campus recruitment events.
- Plan and execute (in collaboration with the Graduate Marketing and Recruiting Coordinator) various recruitment and marketing activities to drive traffic to the graduate website during the inquiry, applicant, and accepted student phases; create and execute innovative messages that will appeal to each unique student.
- Participate in recruitment events organized by Adventist Universities and other universities in the Region.
- Support schools and programs’ recruiters in the organizing recruitment events and create material and new initiatives for recruitment.
- Provide a high level of personalized service to recruits and applicants. Gathers information on graduate inquiries and inputs into databases for mailings and communications. Educates prospective graduate students regarding admission policies and procedures.
- Plan and execute and manage the prospective graduate student’s campus visits in collaboration with campus visit’s office.
- Develop new and edit existing templates to support the integrated communication plan for prospects, inquiries, and enrolled domestic and international students.
- Plan, attend and assist with recruiting promotional events held on campus.
Enrollment Responsibilities
- Plan and execute integrated communication plan that affects recruits, applicants, accepted and enrolled students.
- Serve as the primary contact for developing relationships with prospective students, and moving prospects through the admission processes and to enrollment through extensive personal contact.
- Communicate, using multiple sources, with prospective students (recruits, applicants, accepts, enrollees).
- Manage applications logistic from prospective students to enrolled students.
- Maintain active communication with Schools and department representatives to facilitate services for applicants, accepted and enrolled students. This includes providing prospect and applicant data to academic departments when appropriate.
- Process Guest student’s applications, change of status, deferrals and all other processes alike for prospective and current students.
Admissions Responsibilities
- Analyze and decide when applicants’ files are ready to be sent to department for admission decision.
- Make determination regarding the documents that the applicant’s needs in order to perform a credential evaluation.
- Manage the daily operations of the admission process.
- Counsel prospective students, applicants, and current students on graduate admissions processes, graduate programs, and Andrews University culture.
- Prepare applicant files for admissions committee review.
- Track ongoing processing changes and update the execution of the admissions process.
- Accurately enter graduate application data into the Banner database.
- Develop and maintain accurate records (vault) of prospective and current students.
General
- Contribute to the planning and execution of the Strategic planning of the GEM.
- Manage student workers and oversee their daily activities.
- Assist with the training of student workers.
- Prepare reports regarding applicants, accepted and enrolled students.
- Fulfill other duties and responsibilities as needed or as assigned by Director of Graduate Enrollment.
Supervisory responsibilities
Directly supervises one or two student workers to help cover the front desk. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Qualifications
- Proficient or become in the use of Microsoft Office, Banner, Recruit, and iVue computer programs, including databases, spreadsheets, and an understanding of academic transcripts.
- Be able to perform efficiently in a fast-paced environment
Education and Experience
- Bachelor’s degree in a related area is required.
- Master’s degree is a plus
Degrees earned from Andrews University are a plus
Must be a Seventh-day Adventist in good and regular standing.
Technical competencies
Language skills
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
- Good English verbal communication skills.
- Ability to speak a second language highly desirable.
Mathematical skills
- Able to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Able to compute rate, ratio, and percent and to draw and interpret bar graphs.

- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations
Certificates, licenses, registrations – Valid Michigan Drivers’ license and appropriate clearances to drive university vehicles if driving for departmental events is needed.
