Position summary

The Graduate Enrollment Coordinator performs all functions to recruit, admit, and enroll prospective students into graduate programs. Therefore, the Coordinator works with the Director and the Assistant Director to create and execute the marketing and recruiting strategies to promote AU graduate programs in order to meet recruiting targets.

Duties and responsibilities

ESSENTIAL DUTIES

Enrollment Responsibilities   


  1. Plan and execute integrated communication plan that affects recruits, applicants, accepted and enrolled students.

  2. Serve as the primary contact for developing relationships with prospective students, and moving prospects through the admission processes and to enrollment through extensive personal contact.

  3. Communicate, using multiple sources, with prospective students (recruits, applicants, accepts, enrollees). This includes, but is not limited to, phone, email, Skype, and in-person visits.

  4. Manage applications logistic from prospective students to enrolled students.

  5. Maintain active communication with Schools and department representatives to facilitate services for applicants, accepted and enrolled students. This includes providing prospect and applicant data to academic departments when appropriate.

  6. Process applications and all other admissions and enrollment processes for prospective, current, and guest students.



Admissions Responsibilities


  1. Analyze and determine when applicants’ credentials and supplemental items meet requirements and are ready to be sent to department for admission decision.

  2. Manage the daily operations of the admission process.

  3. Counsel prospective students, applicants, and current students on graduate admissions processes, graduate programs, and Andrews University culture.

  4. Track ongoing processing changes and update the execution of the admissions process.

  5. Accurately enter graduate application data into the Banner database.

  6. Develop and maintain accurate records of prospective and current students.



Recruiting Responsibilities  


  1. Work with the Assistant Director to create new and edit existing recruitment publications.

  2. Work with the Assistant Director to plan and execute new strategies to improve the recruiting efforts domestically and internationally.

  3. Work with the Assistant Director to plan, attend, and assist with recruiting and promotional events held on campus.

  4. Provide a high level of personalized service to recruits and applicants. Gathers information on graduate inquiries and inputs into databases for mailings and communications. Educates prospective graduate students regarding admission policies and procedures.

  5. Assist with prospective graduate students’ campus visits in collaboration with campus visits’ office.  

  6. Develop new and edit existing templates to support the integrated communication plan for prospects, inquiries, and enrolled domestic and international students.

  7. Assists the Assistant Director with planning NAD Graduate Fairs. This may include occasional travel.



General


  1. Contribute to the planning and execution of the Strategic planning of the GEM.

  2. Assist with the training of student workers and new staff.

  3. Manage student workers and oversee their daily activities.

  4. Fulfill other duties and responsibilities as needed or as assigned by Director of Graduate Enrollment.

Supervisory Responsibilities

Directly supervises one or two student workers. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Certificates, licenses, registrations

Valid Michigan Drivers’ license and appropriate clearances to drive University vehicles, if driving for departmental events. Must have a drivers’ license for three years to take students in the vehicle.


Must be a Seventh-day Adventist in good and regular standing.

Technical competencies

TECHNICAL COMPETENCIES: Ability to work with databases and spreadsheets and an understanding of college transcripts. Able to use effectively and efficiently the basic Microsoft suite as well as able to quickly learn and use the CRM - Recruit and relative interactions within Banner.  Able to communicate effectively and professionally by phone and email.
