Position summary
Directs and coordinates the Undergraduate Admissions process for undergraduate prospective students and their parents. Supervises full-time staff and student staff for Undergraduate Admissions for the data entry and management for students throughout the application and admissions process. Full-staff being supervised include the Undergraduate Transfer Admissions Counselor, student Admission Assistants. Assists the Distance Education Admissions Counselor and Distance Education student workers. Assists the Vice President of Enrollment Management with assigned duties as team leader and takes a lead role for the team in the Vice President’s absence or as other responsibilities require.

Duties and responsibilities
Admissions, Undergraduate FTIAC and General
- Supervises the tracking and processing of Undergraduate applications/admissions including: online AU applications, online AEA (Adventist Enrollment Association) applications, and paper applications including supporting application documents such as transcripts and ACT/SAT test scores and international test scores
- Direct Undergraduate Admissions strategic plans and goals
- Communicates by the phone and or/email with students and families having problems relating to admissions, or who have been denied admissions
- Manages entire application and admissions process for undergraduate students (including assisting with Distance Education), from reviewing and administering admissions standards, guiding in the creation of applications through the receipt, processing and response to applications submitted by students to Andrews University in either paper or electronic form
- Works with the Director of Communication and Data and with the CRM Administrator for the development, refining, and ongoing function of the online applications processes including the recording of online applications and submitting of fees to the cashier
- Chairs the Undergraduate Admissions Committee that reviews the applications of prospective undergraduate students and makes admissions decisions
- Manages and assists with evaluating undergraduate applicants analyzing individual ACT and SAT scores and individual high school grades as needed to prepare additional math and academic achievement measures and scores for review and evaluation by the Undergraduate Admissions Committee
- Manages and assists with additional measures necessary for committee, at times, involve coordination with Student Life or the university’s legal counsel on citizenship issues that may impact admissions status
- Confers with staff of other Adventist, private and public schools to explain admission requirements and student transfer credit policy
- Calculates, communicates, and monitors Andrews Partnership Scholarship (APS) for new and returning undergraduate students
- Performs scholarship reviews and verifications for Student Financial Services
- Works with Student Life for determining possible admission for students with prior discipline/citizenship issues (suspensions/felonies and other social issues)
- Directs program of admissions counseling and review exceptional admissions cases with appropriate individuals across campus and elsewhere in preparation for Undergraduate Admissions Committee.
- Compiles and assures the accuracy of recommended admissions decisions for the Undergraduate Admission Committee meetings, advocating for students as appropriate
- Coordinates with Enrollment Coordinators in determining and communicating admission standards and status for prospective students
- Advises students and parents who telephone regarding admission policies and processes
- Oversees working with the Admissions UG Subcommittee and Deans of the schools for recommendations for applicants that do not meet the admissions requirements that may be accepted on probation for transfer students
- Works with CIEP on recommendations for advanced level ELI students on meeting English Language Proficiency Requirements
- Works with Assistant Registrar for Off-Campus Programs with admissions procedures and transcripts evaluation
- Works with on campus Agreements/Contracts that Andrews has with other international colleges/universities
- Manages the processing of special applications of the on campus programs
- Processes Adventist Colleges Abroad (ACA) applications
- Assists the Director of UG Communication and Data for editing the admission section of the bulletin as well as all other admission related materials

Admissions, Undergraduate Distance Education Students
- Interacts with the Undergraduate Distance Education Admissions counselor in the School of Distance Education for responses needed to questions and requests for UG distance education including the ongoing needs of the Distance Education Students and the transition of Griggs University from SIS to Banner as all of these items impact UG Admissions in general.
Admissions, Undergraduate Transfers
- Oversees the responses provided for questions and requests regarding transfer students
- Works with the Academic Records office for the transitioning of transfer students’ prior college documents for articulation of credits
- Works with International Secondary School documentation and equivalents
- Assists Academic Records with Evaluation of International Secondary documents for consideration of advance standing
- Assists with developing a timely, smooth and efficient system in conjunction with Academic Records to give answers to prospective transfer students regarding credit equivalents of transfer courses
- Oversees Undergraduate Transfer Admissions Counselor with processing Pre-College applications, prepares billing and collects money for high school students taking courses for credit
- Oversees Undergraduate Transfer Admissions Counselor with processing UG Transfer student applications and Guest student applications
Admissions, Undergraduate International Students
- Coordinates with the International Student Services offices through the Associate Director of ISS regarding international student admissions processes
- Advises international students and parents who call or email regarding admission policies and processes.
- Interprets and processes international academic documents with the assistance of Academic Records and external organizations used by them for this purpose with the resulting equivalent grades being used for determining admission and merit scholarships
- Helps with international student when on campus for visits
- Processes the reviewing of international student documents and equate them to U.S. grades, in collaboration with the Academic Records department as needed
- Works with International Student Services on communicating the admissions needs and processes pertaining to undergraduate international students
- Assists the International Financial Services Advisor on the completion of the I-20 process as needed
Committee Assignments
- Serves as Chair of the Undergraduate Admissions Committee that reviews the applications of prospective undergraduate students and makes admissions decisions
- Manages the additional measures necessary for committee, at times, involve coordination with Student Life or the university’s legal counsel on citizenship issues that may impact admissions status.
- Serves on ad-hoc committee for General Education Policies as it pertains to transfer and international credits
- Serves on ad-hoc committee for International Student Experience
- Serves on the International Student Council
- Serves on the Undergraduate Council
- Serves on the Student Transitions Committee
- Attends monthly ITS and Enrollment meetings to work on the ongoing technology needs for Undergraduate Admissions and Communications
- Serves on the Articulation Committee
- Chairs the weekly Undergraduate Enrollment team meeting and the weekly Undergraduate team leaders’ (directors) meeting
Enrollment
- Attends Enrollment and Admissions conventions and workshops as budget allows (AEA, ACT, MCF, MCRAO)
- Assist as assigned with the Preview Weekends and other Enrollment Events
- Actively participates in assigned meetings with recruiters, departments and combined meetings with Student Financial Services
- Supports Enrollment initiatives as a team
- Participates in Enrollment Management office planning and development
- Presents at yearly Michigan College Foundation events for high school guidance counselors
- Maintains knowledgeable about campus departments
- Assist in University Previews
- Assist in Early Registration events

Supervisory responsibilities
Management and Supervision
- Leads out in the weekly Undergraduate Enrollment team meetings
- Leads out in general training needs and initiatives for the Undergraduate Enrollment staff and student staff
- Directs the Undergraduate Transfer Admissions Counselor and their student staff
- Manages the hiring and training of 12-15 admissions student workers and sets the student worker hourly rates according to evaluations
- Manages the training of Admissions Counselors and assists with the training of the Enrollment Counselors
- Supervises the student Admissions Assistants
- Manages the development and updating of the admissions training manual
- Manages budget line items that pertain to Undergraduate Admissions
- Manages Admissions Student Wages budget and student hours
- Directs the hiring of new Admissions Counselors
- Assists the Undergraduate Distance Education Admissions Counselor and their student staff
- Assists in the interviewing, hiring and training of the 2-3 Distance Education student workers
Qualifications
EDUCATION and/or EXPERIENCE: Bachelor’s degree or equivalent; or two or more years of related experience and/or training; or an equivalent combination of education and experience. Previous experience in enrollment office settings or in positions that provide significant experience in organizational skills, analysis and customer service and interaction.
LANGUAGE SKILLS: Able to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Able to write reports, business correspondence, and procedure manuals. Able to effectively present information and respond to questions from groups of managers, clients, customers, and the general public, including skills in communicating difficult news to applicants and their families. Skills in languages beyond English are also of benefit in the evaluation of international student documents.
MATHEMATICAL SKILLS: Able to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Able to compute rate, ratio, and percent and to draw and interpret bar graphs. Able to produce scores that evaluate or rate students based on a variety of factors, including individual test scores and class grades from secondary school and/or college from both domestic and international schools.
REASONING ABILITY: Able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Able to deal with problems involving several concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS: Must possess valid driver's license and insurance.

Technical competencies
Working knowledge of MS Office products including MS Word, Excel, PowerPoint
Capacity to use or learn to use the Banner data base and related databases including Ellucian Recruit
Reports – works with the ITS department with data for Census reports and other mid-year reporting that is needed for tracking enrollment data of admitted and enrolled UG students including merit scholarships awarded.
Interpersonal interactions
Able to interact with in a positive and constructive manner with all constituencies including: Prospective students and their parents, Enrollment team members (staff and student), individuals in campus academic and non-academic departments, and administrators. Able to supervise those who report to them in a supportive way that also maintains the discipline needed to accomplish the work of the department.
