Position summary
The office of the administrative assistant coordinates the administrative functions of the department in consultation with the chair.
Qualifications summary
Bachelors’ Degree (or equivalent combination of education and experience), h
ave an understanding of the academic community. Experience in marketing, and administration are preferred. Possess excellent organizational and speaking skills.
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities
Department Management
- Compiles and gathers departmental documents;
- Coordinates bulletin editing and class schedule creation;
- Organizes certain departmental activities and events;
- Oversees mail distribution;
- Maintains departmental records and files;
- Attends and records minutes for faculty meetings;
- Works with ITS for faculty, classroom, and departmental technical needs;
- Provides other administrative support as needed.
Budget Management
- Coordinates any adjustments the department wants to make to the budget;
- Manages and provides reports on the budget throughout the year;
- Coordinates purchasing for the department;
- Coordinates travel paperwork, both for students and faculty;
- Assists in processing expense reports;
- Serves as liaison to the Department of Financial Records.
Human Resources
- Manages hiring, termination, and paperwork for all students in the department;
- Provides job training and basic professional development for student workers in the department;
- Approves all weekly time clocks except his or her own;
- Is the liaison for the department with the Human Resources Department.
Recruitment and Advising
- Manages email, mail, and other points of contact for incoming/prospective students;
- Serves as liaison for the department to the Departments of Academic Records, Undergraduate Admissions, and Student Financial Services;
- Assists faculty, students and directors with student issues regarding courses, credits, grade changes. Maintains and updates all student records (paper files and online.)
Public Relations
- Serves as a central contact point for the department;
- Knows university and departmental policies and procedures and provides information to undergraduate students regarding program requirements as well as policies and procedures;
- Coordinates development and editing of the departmental website;
- Provides clerical support and assistance including setting appointments, word-processing, and telephone/receptionist duties, with the ability to prioritize tasks.

Qualifications
The successful applicant will possess a passion for others and to assist students, faculty, and the greater AU community while also:
- Possessing excellent organizational and speaking skills;
- Have experience at the collegiate level either as a student (earned degree) or employee;
- Experience in marketing is preferred.
Language Skills Ability to read, analyze, and interpret English effectively.
Mathematical Skills Ability to do basic math, especially in the area of accounting.
Reasoning Ability Ability to understand the functions of Andrews University and reason from cause to effect on administrative policies.
Computer Skills Fluency is basic computer functions is required.

This position is the first face of the department; successful applicant needs to be comfortable interacting with students, faculty, and community members;
We offer several services to students and the successful applicant will be rexponsible for the department's customer service and overseeing student labor.
