Position summary
The Graduate Assistant Event Coordinator for GC Related Activities will assist the Guest Services Director and work closely with the Andrews University General Conference Activities Sub-Committee to successfully coordinate, plan, manage, and implement all events leading up to, during, and after on-campus GC Days. In addition to event management, the Graduate Assistant will serve as a liaison for all guest groups and individuals coming to the Andrews University campus in connection with the General Conference Session.

Duties and responsibilities
Duties and responsibilities
Responsibilities Include but not limited to:
- Work closely with the GC Activities Planning Sub-Committee, under the leadership of the Guest Services Director, to assist with comprehensive planning and execution for on-campus Activities, needs of visiting groups and individuals, and provide effective communication and responses prior to, during, and following scheduled GC days
- Manage content of GC Days webpage, email and online registration, providing updated and timely responses to inquiries and requests
- Assist with providing logistical support and information to event attendees and campus guests
- Maintain up-to-date records of registration and activities
- Take minutes during planning meetings
- Assist with planning and executing of GC Days Activities
- Assist with arranging and participating in, and maintain oversight of event setup and delivery of required equipment
- Assist with coordination with other university departments as needed
- Be physically present on campus during events and as requested by the Director
- Assist with data collection and reporting as needed
- Provide timely feedback and coordination of needs with Guest Services Staff and GC Activities Planning Sub-Committee
- Serve as resource for guests, providing information, directions, and answers in a courteous and timely manner
- Assist the Director with event coordination as needed
Guest Services
Collaborate and communicate with the Director or Assistant Director as it relates to guest services, lodging and accommodations for GC related visiting groups or individuals as needed
Supervisory responsibilities
Assist with coordinating volunteers for GC Days
Qualifications
The desired qualifications include but are not limited to:
Earned Bachelors degree
Masters or Doctoral level candidate
Experience in event planning preferred
Technical competencies
Intermediate to advanced skills in using web and media-based technologies
Microsoft Office
Interpersonal interactions
Excellent Customer Service skills
Must be comfortable meeting and communicating with a wide variety of campus administrators, departments, faculty, and staff, in addition to campus guests in a professional manner.
Physical demands
Be able to carry 20-40 pounds
Work environment
The Graduate Assistant will work in a shared campus office setting, frequently interfacing with Andrews University staff, students, and guests.
