Position summary
Serve as assistant to the department chair and provide administrative support to professors in the Theology & Christian Philosophy Department. Liaise between faculty and students regarding department classes. Process administrative and financial paperwork including budgets, class schedules, bulletin changes, teaching contracts, and graduate assistantships; manage professors’ appointment calendars and travel; and schedule various departmental meetings. Assist with editing and/or preparation of manuscripts for publication. Coordinate various events/receptions. Various other duties as required.
Qualifications summary
Bachelor's degree and administrative assistant experience preferred.
Computer literate in the knowledge of Word, PowerPoint, Excel, and WordPerfect, and aggressive in learning new programs.
Concern about the spiritual well-being of students, staff, and faculty.
Excellent English language skills in speaking and writing.
Must be able to multi-task with frequent interruptions and work without direct supervision.
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities

Office procedures such as information management, filing systems, requisition of supplies and equipment, and other clerical duties.

Maintain records and files for classes taught within the department as well as distance education classes.

Order textbooks and process course materials/documents for duplication.

Manages supervisors’ calendars, schedules appointments, meetings, travel itineraries, and coordinates related arrangements.

Keep regular office hours and be in charge of the office environment.

Process administrative and financial paperwork including budgets, class schedules, bulletin changes, teaching contracts, and graduate assistantships.

Assist with editing and/or preparation of manuscripts for publication.

Manage/proctor distance education student exams.

Organize various events/receptions

Screens incoming calls and correspondence, including e-mail and faxes, and responds independently when possible.

Arranges programs or events by arranging for facilities, issuing information or invitations, coordinating speakers, and controlling event budget.

Coordinates and arranges meetings, reserves and prepares facilities. Directs preparation of records such as agenda, notices, and resolutions for various committee meetings.

Takes and transcribes dictation, composes or transcribes from rough draft confidential correspondence, reports, bulletins, memoranda, course materials, manuscripts, and other departmental documents.

Assists in research work via library holdings and a variety of database resources.

Listens, counsels, prays with students encountering problems and resolves problems or directs students to the appropriate resource.
