STUDENT FINANCIAL SERVICES - Assistant Production Tracking

Position summary

Responsible for tracking incoming documents to prepare files for verification and financial aid offers. Oversees filing system including making folders, scanning, cataloging and storage. Handles incoming mail and returned mail as well as mass mailings (financial aid offers, tracking requirements, address changes) and other related responsibilities.

Qualifications summary

Associate’s degree or equivalent from two-year college of technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.


Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities

- Track in all incoming document requirements and other items (refund requests, etc.)

- Prepare files for verification and financial aid offers.  Student must have essential FAFSA data, financial aid documents, and current admission status.

- Know federal guidelines for tax documentation, filing status, income documentation (W-2, 1099 Forms), definition of household, citizenship status, and Selective Service registration requirements.

- Contact students and/or parents about missing document requirements: personal e-mails, calls, document request cards, tracking letters.

- Oversee filing system:  help oversee scanning and cataloging, directly oversee files, training, overseeing workers who do filing and scanning of document requirements, storage of old files, purging (yearly and ongoing), making folders, maintaining no-folder sections.

- Must maintain pleasant and secure office. Office files must be kept locked when office is not in use. Only authorized SFS employees allowed in files. Information must always be secured. 

- Receive and process mail

Supervisory responsibilities

Some supervisory skills needed. Supervises student workers in filing system (new and old) and scanning documents.

Qualifications

Good Customer service. This person is required to serve people each workday. Must be professional in handling communication with students, parents and internal customers.

Detail Oriented. Excellent organizational skills. Self-Motivated and reliable.

Good computer skills. This position requires the use of Banner Ellucian and Microsoft suite software.

Good writing skills. 


Must be a Seventh-day Adventist in good and regular standing.

Technical competencies

Must be comfortable working with computers and able to work with Microsoft Suite and Banner Ellucian, along with some web-based databases.

Interpersonal interactions

Must work well with others as this is very much a team-based work environment.

Must have the ability to quickly understand and follow directions, particularly in time sensitive situations.

Physical demands

Sitting, standing, walking.  Long periods of computer usage. 

Work environment

Open office environment most of the time. Certain task require to work some hours in an enclosed filing storage space, less light and less ventilation. 

The noise level in the work environment is typical of that of an office. Moderate Noise when using shredding or paper folding machine.
