Duties and responsibilities
- Answers phone calls, schedules meetings and supports visitors, students and their families
- Carries out administrative duties such as filing, typing, copying, scanning, etc.
- Supervisor of the FAA PSI testing center. Responsible for maintaining the center testing site, maintain all center records. administering tests, supervising the assistant test proctors, maintaining personal testing requirements.
- Responsible for student aviation accounts including all billing.
- Completes operational requirements by scheduling and assigning administrative projects and expediting work results and completing all departmental reports.
- Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations when needed.
- Exhibits polite and professional communication in person, via phone, e-mail, and mail.
- Supports team by performing tasks related to organization and strong communication.
- Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Provides information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Contributes to team effort by accomplishing related results as needed.
Supervisory responsibilities
- Supervise student office help.
Qualifications
- Technology proficient (MS Office, iPad, online scheduling), willingness to learn appropriate aviation software: Epic Fuel program, Fuel Master, MyFlightTrain, University payroll, building access, FAA Testing site, Campusship
- Valid driver’s license
- High school diploma
- Administrative / office experience
