Position summary

The Circulation and Stacks Manager, under the direction of the Head of Patron Services, oversees and integrates the daily functions of Patron Services including the Circulation Desk, stacks maintenance, and the library building operations. The position involves hiring, scheduling, and cross-training student assistants; supervising the checking-in and out of circulating and reserve materials. This position also coordinates, implements, and evaluates the daily shelving, shifting, inventorying, processing new arrivals, and missing item searches, and assists in the invoicing of lost materials and tracking materials not returned by patrons.

Duties and responsibilities

TYPICAL DUTIES:


  1. Manages the day-to-day operations of circulation and stacks services and supervises student assistants.

  2. Learns, uses, and maintains a working knowledge of the library’s automated circulation module and other technologies about the administration of circulation services and service delivery. This includes the MeLCat user system, as well as LibInsight.

  3. Creates new datasets within LibInsight as needed to record circulation statistics. Also maintains datasets to remain current on statistics.

  4. Maintains statistics for the Dean of Libraries, using Microsoft Excel spreadsheets.

  5. Trains and supervises student assistants in checking materials in/out; notifying patrons of overdue materials; sending out recall notices; placing holds on books; opening and closing procedures; cash drawer and change management; and processing renewal requests made via telephone, voice mail, and email.

  6. Coordinates, implements, and evaluates the daily operations of stacks maintenance processes and procedures, including shelving, shifting, inventorying, and missing item searches.

  7. Ensures shelving accuracy by implementing appropriate shelving quality control measures.

  8. Develops and implements plans and procedures regarding the physical management of the circulating collections; updates and posts attractive and accurate shelf range signs; maintains procedure manuals describing shelving workflows.

  9. Ensures that newly cataloged materials are immediately accessible on the library shelves when released from Bibliographic Services.

  10. Serves as backup to Resource Sharing Manager.



Ensures that all Community Cards and Faculty Administrative Assistant Cards have been completed and filed correctly.


  1. Updates Circulation policies and procedures as needed.

  2. Serves on library committees as requested.

  3. Attends staff development workshops and seminars, as well as specific MeLCat user meetings.

  4. Updates staff and faculty records as needed in Sierra with changes received from Employment Office - new hires, moving from one department to another, and anyone leaving the university.

  5. Assists in planning, organizing, setting up, leading out, and cleaning up after Patron Services worker’s meetings.

  6. Maintains daily and weekly money reports for the Patron Services Department.

  7. Oversees all processes related to maintaining the Reserve Shelf, including adding items to Reserve and removing items as needed.

  8. Oversees the accounting of charges for fines, book replacement, and refunds to send to the University business office and monitors unpaid accounts; coordinates with the registrar to clear students with fines or unreturned materials before graduation; refers delinquent accounts to Student Financial Services Collections Manager.

  9. Leads out on Snow Days and emergency procedures, such as tornadoes, fire, floods, etc

  10. Monitors and responds to alarms within the library

    • Arms/disarms library security alarms.

    • Begins emergency response to alarms until Campus Safety or other responders arrive.



  11. Directs opening and closing procedures for the library.

    • Opening: Turn on lights, check the building for cleaning and maintenance problems, set library stage for the day.

    • Closing: Turn off lights, turn off computers, straightening chairs, etc.



  12. Monitors public areas of the library by regular patrolling of reading areas, stacks, conference rooms and classrooms, lunchrooms, and restrooms.

    • Carries cell phone for emergency contact.

    • Reports serious problems to Dean of Library via incident reports.



  13. Oversees S-2 electronic door (main entry and staff/handicapped entry).

    • Serves as liaison with ITS regarding S-2 doors.

    • Communicates any permanent library schedule changes with ITS for S-2 door programming.

    • Programs any temporary library schedules changes for the main doors.

    • Updates and maintains ID card access during holiday/intersession/special schedules for student workers and library volunteers.

    • Regularly reviews list of persons with ID card access to the library, alerts Dean of Library to any anomalies, and requests ITS to make needed corrections.



  14. Learns, uses, and maintains working knowledge of the library’s Innopac Circulation system and other technologies about building management.

  15. Informs and works with emergency responders, carrying out their instructions.

  16. Provides support to patrons through the James White library online chat service.

  17. Other duties as assigned.



Supervisory responsibilities

The Circulation Stacks Manager assists in the supervision of 20-30 student assistants.

1. Experience working in an academic library and the ability to use the Library of Congress classification system.

2. Experience using automated library systems, particularly Innovative Interfaces Inc., Knowledge of or ability to learn the use of OCLC modules, Clio ILL software, bibliographic databases, etc.

3. Knowledge of photocopiers, printers, and other office equipment.

Interpersonal interactions

The Patron Services manager has written, telephone, and in-person contact with the following groups on a routine basis: employees in the library, employees of the University, students, and the general public.

Has contacts with colleagues at other libraries as part of circulation, MelCat, and interlibrary loan duties.

Outside vendors.

Physical demands

Physical strength and stamina: work entails continuous standing, walking, bending, lifting, climbing and reaching as well as exposure to dust. Staff push book trucks weighing up to 600 pounds. Must be physically able to operate a variety of automated office machines, which include computers, printers, typewriters, facsimile machines, copy machines, calculators, telephones, etc.

Work environment

The work environment is a heated and air-conditioned open office setting. There is moderate noise from office printers, traffic from student and staff moving through the open office area, and some conversations with patrons or colleagues. Books accumulate dust and can aggrevate allergies.
