Position summary

The Assistant Dean for Residence Hall Facilities and Operations assists the Assistant Vice President for Residence Life in overseeing the maintenance and care of residence hall facilities to foster the optimum quality of student life and holistic development for Andrews University in-residence students. The Coordinator exercises independent initiative and judgment in managing the residence hall facility needs.  In addition, he/she provides supervision and support  to the residence hall maintenance and custodial staff. 

These responsibilities require extensive knowledge and deep understanding of the mission, values and operations of the University, Residence Life, and Campus & Student Life.

Qualifications summary

A Bachelor’s degree is required for this position (Master’s degree preferred) and/or 1-2 years of experience as a residence hall dean and/or in facilities management and supervision are minimal requirements for this job. 


Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities

The essential duties and responsibilities of this position include the following:

Residence Hall Facilities Oversight

Directs the daily administration of the maintenance and custodial services of the residence halls to create an optimum living environment in the residence halls. 

Assists in the management and direction of the daily operations of the residence life facilities. 

Assists the assistant vice president in ensuring institutional financial policies are followed within the residence hall facilities’ projects and supplies.

Assists in facilitation of an environment which stimulates student responsibility and accountability within the residence community.

Directs custodial and maintenance staff scheduling to insure the availability of staff to provide for the daily facility needs.

Coordinates the annual inventory of all resident rooms. Prepares maintenance needs list.  Processes charges and is responsible for all  communications with residents and financial services  about these charges. 

Develops an annual comprehensive inventory of Capital Needs for all residence halls.

Maintains a working relationship with residence hall staff. 

Maintains an open working relationship and serves as the liaison with administration, faculty, parents, alumni, student groups and other constituents throughout the university regarding student life issues on an individual basis as well as serving on a variety of committees.  

Residence Hall Dean General Responsibilities

Assists in the management and direction of the daily operations of the residence life system,

including programming for and responding to spiritual, social, community building, physical, and educational needs. 

Participates with staff in the assessment of and meeting of student needs for support, advising, counseling and areas of crisis management such as mental health and medical emergencies.  

Participates in development, interpretation, and dissemination of university and residence hall policy for students.  

Participates in staffing responsibilities including recruitment and selection of salaried, hourly and student staff members.  Participates in development of pre-service and in-service training, workshops and development for student employees.  

Provides professional support and care for the undergraduate residence hall students when participating in the weekend coverage rotation.

MEETINGS AND COMMITTEE ASSIGNMENTS

Attends meetings as requested by the Assistant Vice President for Residence Life. 

PROFESSIONAL DEVELOPMENT

Maintains professional contact outside the University through involvement in professional organizations/activities and collaborations with Residence Life and Student Services professionals at other institutions.

Supervisory responsibilities

The Assistant Dean for Residence Hall Facilities and Operations carries out supervisory responsibilities in accordance with Andrews University policies and applicable laws. 

Responsibilities include hiring and training maintenance and custodial full-time staff (a team of 10 total) as well as providing oversight to the hiring of student workers in maintenance and custodial.  This includes job description preparations and assignments, scheduling, directing work, appraising performance and addressing complaints and resolving problems.  

Supervises and participates with staff in the nurturing and holding students accountable to expectations including substance abuse, overnight leave and curfew guidelines, co-curricular attendance, and other general citizenship areas.

To successfully do this job, an individual must be able to perform a wide range of professional related tasks and be able to work independently as well as with directives. This job requires exceptional management, organizational and multi-tasking skills with strong interpersonal qualities to navigate the challenging pressures of a complex and fast-paced environment that offers crucial services, care and processes for University students.

A dean is expected to be a strong Christian role model and should be committed to personal spiritual growth.  He/She should have knowledge of youth culture and youth challenges, including knowing how to assess, intervene and direct to professional help those involved in: drug and other substance abuse issues, childhood molestation, rape and date rape, depression, suicidal inclination, bulimia and anorexia, and other crises inherent in the social-emotional environment of today’s youth.

EDUCATION AND/OR EXPERIENCE

Technical competencies

CUSTOMER SERVICE, COMMUNICATION AND LANGUAGE SKILLS

Exceptional skills in customer service skills as well as oral and written communication skills are required. This includes the ability to read and communicate in fluent English, as well as to understand a wide variety of documents pertaining to the Higher Educational sector.

TECHNICAL AND MATHEMATICAL SKILLS

Advanced computer and internet research skills including knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Publisher) and Web design. Ability to do basic math as well as higher level analysis of financial reports. 

CRITICAL THINKING AND REASONING ABILITY

Ability to think critically and to analyze a wide variety of high-level problems to assess situations with great perception and to use discretion in responding to difficult situations.

Ability to apply common sense understanding to carrying out various types of directives.
