Position summary
To assist the chair in his/her day to day role as well as the running of the DSRE Department.
Full range of administrative duties including such tasks as: daily organization of basic office procedures and clerical duties; keeping regular office hours and maintaining office environment; create/maintain/edit records/files for faculty and on campus classes; computer entry and knowledge of computer programs; organization of workshops/seminars/receptions; relates well with and advises/encourages students appropriately; fulfill other duties as assigned.

Duties and responsibilities
- Assists the chair in his/her day to day role
- Organizes office procedures such as information management, filing systems, requisition of supplies and equipment, and other clerical duties
- Maintains records and files for classes taught within the department
- Orders textbooks, reserves books in the library, processes course materials/documents for duplication
- Manages faculty calendars and schedules appointments and meetings
- Keeps regular office hours, in charge of office environment
- Processes forms for the department
- Designs announcements for department events and seminars
- Manage/proctor comprehensive exams
- Ability to organize Annual New Student Orientation for new students, workshops, and dedication receptions
- Help draft the yearly budget and implement budget cuts as needed
- Coordinate the availability of courses a year in advance and submit changes as needed
- Revise and submit bulletin changes (annually)
- Make revisions to program handbooks as needed
- Answer promptly phone and email inquiries about the programs offered by the DSRE Department
- Maintain academic records for the following programs: MAYYAM, MA (Religious Education), PhD (Religious Education), dual degrees MAYYAM/MSCID, MAYYAM/MSW, MA (Religious Education)/MSW, and different emphases
- Help with recruitment of students, including meeting with visitors who inquire about the programs
- Track prospective students and send them program information as it is requested
- Track and process applications to the MAYYAM, MA and PhD (Religious Education) programs (be able to read transcripts and evaluate application materials)
- Monitor students' progress through their programs, informing students and their advisors about impending academic deadlines
- Meet/advise students
- Maintain active communication with students and follow up with their academic lives
Supervisory responsibilities
- Keeps record of graduate assistant hours
- Annual workshops coordinator/reception event planner
- Manage/proctor Comprehensive Exams
Qualifications
Bachelor's degree preferred with emphasis on secretarial, communication, or educational skills, or equivalent in experience.

- Positive spiritual attitude and commitment to mission of the Seminary and the Church
- Strong organizational skills; effective at project management

- Excellent English language skills in speaking and writing. Verbal skills in other languages useful, but are not required
- Experience in academic environment preferred
- Detail-oriented and well organized, able to multi-task

- Graphic skills desirable, but not absolutely necessary
