Position summary

The Administrative Assistant for Admissions and Registration coordinates activities in connection with admissions and enrollment of all new DMin students and registration for current students. This person serves as the secretary and voting member of the DMin Admissions and Extensions Sub-committee. This person also interprets, applies, and recommends policy changes to and/or with the DMin program director.

Qualifications summary

Normally a bachelor’s degree required from an accredited institution and 3-5 years of work experience in education, communication, or denominational organization. Excellent communication skills in Spanish and English required. Experience in office administration and computer word processing applications is a must. Since the work includes dealing with ministers in the field, familiarity in church organization and leadership would be especially valuable.


Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities

A. ENROLLMENT & ADMISSIONS

1. Proactively work with Graduate Enrollment in ensuring applications are promptly processed and submitted to the program for evaluation.

2. Evaluate transcripts; complete equivalency evaluations where needed and advise students regarding options for earning equivalency credits.

3. Review equivalency evaluations with MDiv program director.

4. Prepare folders for the DMin admissions & Extension Sub-committee to review and vote recommendations for admissions and extensions.

5. Serve as secretary and voting member of the Admissions & Extensions Subcommittee.

6. Process extension applications.

7. Process acceptance or denial letters and monitor the full completion of the acceptance process by Graduate Enrollment.

8. Notify applicants of DMin committee decisions on their applications immediately following the signature of the seminary dean.

9. Coordinate new student registration with the Coordinator for Finance, Business Administration, and Office Management.

10. Communicate and problem-solve with students and appropriate university entities regarding provisional admission status.

B. REGISTRATION

1. Manage the registration process each semester, ensuring all qualified students are registered online or manually.

2. Actively work with Student Financial Services to resolve student financial issues and collaborate on the implementation of policies that impact financial aid and scholarships.

3. Ensure International Student Services receive correct intensive dates and student data for issuing I-20s, clearing immigration holds, and resolving any issues in a timely manner.

C. ADVISING

1. Advise students regarding options for program continuation if they miss an intensive, need an extension, or switch to another cohort.

2. Document all changes/revisions, complete appropriate forms for submission to academic records/student financial services, and provide relevant guidance to students.

D. STUDENT ACCESS & RESOURCES

1. Coordinate student access to Learning Hub and work with DLit in resolving any issues preventing access.

2. Work with James White Library to resolve any student library access issues, and to collaborate on the implementation of policies that impact student library usage.

E. WEBSITE ADMINISTRATION

1. Keep DMin website up to date.

2. Improve the website as needed in consultation with the DMin staff.

F. SUPERVISE THE GRADUATE ASSISTANT DESIGNATED TO THIS POSITION

G. MISCELLANEOUS

1. Translate/interpret as needed.

2. Organize and maintain an individual record file for each student.

3. Coordinate with the Graduate Enrollment Office, Registrar, and International Student Office on necessary matters regarding new students. Provide reports as required.

4. Keep director informed of important aspects of the program that may be overlooked.

5. Other tasks as assigned by the director.

Qualifications


  1. Excellent administrative skills.

  2. Positive people skills.

  3. Excellent, above-average bilingual (English and Spanish) communication skills level required. Correspondence requires tact, accuracy and clear/concise expression of ideas for communication with potential program recruits and ministry professionals in the field.

  4. The ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, totals, volume and deciphering of credit hours is essential.

  5. A mastery of word processing and database software applications. Ability to gain knowledge in other computer programs is crucial as well.

  6. Ability to apply common sense to the carrying out of instructions furnished in written, oral or diagram form. Have the ability to deal with problems involving variables from standardized situations.

  7. Clear judgment. The position requires the ability to make quick, accurate decisions.

Interpersonal interactions

This candidate will be in constant interaction with students, advisors, faculty, and staff. Must be able to communicate effectively and be courteous with everyone in order to create and maintain positive relationships.

This position includes dealing with ministers in the field, so, familiarity in church organization and leadership would be especially valuable.

 

Physical demands

While performing the duties of this job, the candidate will regularly do normal office activities and operate standard office equipment.
