Position summary
To assist the chairs in their day-to-day roles as well as the running of the New Testament and Old Testament Departments.
Full range of administrative assistant duties including such tasks as attending to basic office procedures and clerical duties; keeping regular office hours and maintaining office environment; creating/maintaining/editing records/files for faculty and on-campus classes; computer entry and knowledge of computer programs; organization of receptions; relates well with and advises/encourages students appropriately; help maintain courses on LearningHub, help organize study tours; fulfill other duties as assigned.

- Computer literate in knowledge of Microsoft Word, PowerPoint, and Excel, and ability to learn new programs such as LearningHub
- Excellent English language skills in speaking and writing
- Must be able to multi-task with frequent interruptions, and work without direct supervision
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities
- Assists the chairs in their day-to-day roles
- Maintains office procedures such as information management, filing systems, requisition of supplies and equipment, and other clerical duties
- Maintains records and files for classes taught within the department
- Orders textbooks, reserves books in the library, duplicates course materials/documents
- Updates LearningHub gradebooks and attendance records, uploads files and links
- Manages faculty calendars and schedules appointments and meetings
- Keeps regular office hours, in charge of office environment
- Attends department meetings, prepares materials and takes minutes.
- Processes forms for the department such as drop/add forms, contracts and expense reports for faculty purchases and trips
- Designs announcements for department events and organizes programs and food for Seminary graduation event 1-2 times a year as well as other events that members of the department may be involved in both on and off campus.
Collects student information, forms and payments for summer study tours offered by the departments.
- Proctors and/or grades placement exams twice a year and as needed and other midterm and final exams as requested
- Helps draft the yearly budget and implements budget cuts as needed
- Coordinates the availability of courses every year in advance and submits changes as needed
- Revises and submits bulletin changes (annually)
- Makes revisions to program handbooks as needed
- Promptly answers phone and email inquiries for the New Testament and Old Testament departments
Supervisory responsibilities
- Keeps record of graduate assistant hours
- Organizes graduation events and other events (both on and off campus, such as conferences) needed by department
- Proctors placement exams and other exams
Qualifications
- Bachelor's degree preferred with emphasis on secretarial, communication, or educational skills, or equivalent in experience.
- Friendly and ministry-oriented with an attitude of warmth, caring, openness, and grace
- Concern about spiritual well-being of student, staff and faculty
- Positive spiritual attitude and commitment to mission of the Seminary and the Church
- Strong organizational skills; effective at project management
- Computer literate in knowledge of Microsoft Word, PowerPoint, and Excel, and ability to learn new programs
- Excellent English language skills in speaking and writing. Verbal skills in other languages useful, but are not required
- Experience in academic environment preferred
- Detail-oriented and well organized, able to multi-task
- Good interpersonal, intercultural and communication skills
- Graphic skills desirable, but not necessary
- Dependable and takes "ownership" of his/her job
