Position summary
The Administrative Assistant to the Vice President for Advancement provides clerical and administrative support for the Office of Advancement. The assistant also helps the Vice President manage the relationships with the departments under its purview. Generally the Administrative Assistant aids the Vice President in helping the Office of Advancement serve its constituents effectively and to run smoothly. Duties include, document preparation and management, organizing meetings, greeting and providing guidance to office visitors, problem solving, critical thinking and bereavement support on behalf of the University.

Duties and responsibilities
The core duties and responsibilities of the Administrative Assistant revolve around supporting others. Their job duties can vary widely, not just from job to job, but from day to day at the same job. On any given day, they may perform a variety of tasks, such as:

Answer phones and greet visitors

Schedule Vice President's appointments and maintain Vice President's calendar

Schedule and coordinate staff and other meetings

Collate, distribute and dispatch mail

Prepare communications, such as memos, emails, invoices, reports and other correspondence

Write, prepare and even edit documents

Create and maintain filing systems, both electronic and physical

Manage accounts and perform simple bookkeeping
Supervisory responsibilities
The Administrative Assistant generally will not have supervisory responsibilities. (Possible exception: student worker supervision)
Qualifications
- Excellent organizational skills and attention to detail
- Ability to multitask and manage details/projects at the same time
- Excellent communication skills, both written and oral
- Ability to maintain confidentiality and meet tight deadlines
- Associates degree and previous experience in office support required; Bachelor’s degree preferred
- Must have the ability to work well as a team member and be flexible

Technical competencies
- Proficient in Microsoft Office Suite (Word, Excel, and PowerPoint)
- Graphic preparation skills preferred
Interpersonal interactions
- Must be comfortable serving the public
- Must have soft skills of patience, kindness and discernment (emotional intelligence)
Physical demands
- May, at times, need to lift 5 to 10 pound boxes, office items or packages
Work environment
- Quiet office environment
- On occasion may also be tasked to a university event on campus
