Position summary

The Graduate Enrollment Coordinator advocates for prospective, accepted, and enrolled students during the process of recruitment, admissions, and enrollment. The Coordinator serves applicants, students, and guest students by communicating with them in all processes from recruitment to graduation. The Coordinator is also the link between the academic programs and the applicants which continues after they become students.

Qualifications summary

Master’s degree preferred. Fluent in both written and verbal English. Spanish highly desired.  A commitment to customer service, with the ability to handle intense situations and maintain extreme attention to detail and confidentiality of documents.  Ability to perform efficiently in a fast-paced environment and under pressure.  Has respect for diversity.  Proficient in the use of Microsoft Office, Ellucian Banner and Recruit preferred.


Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities

Primary contact for developing relationships with prospective students, applicants, and current students on the graduate admissions processes, graduate programs, and Andrews University culture. Assist in planning, attending and execution of recruiting and promotional events. Assist with Campus Visits to facilitate prospective students’ campus and virtual visits.

Manage the daily operations of admissions by processing applications and all other enrollment processes for prospective, current, and guest students. Accurately enter graduate application data into the Recruit and Banner databases throughout the application process as changes in status occurs. Analyze and determine when applicants' credentials and supplemental items are ready to be sent to department for admission decision.

Assist in the training of graduate assistants and new staff. Manage student workers and oversee their daily activities.

Maintain active communication with colleges and departments to facilitate services for prospective, accepted, and enrolled students. Track ongoing processing changes and update the execution of the admissions process.

Assist Director of Graduate Enrollment Management with other duties as needed. Contribute to the planning and execution of strategic planning in the Graduate Enrollment Management (GEM) office.

Work as a team player within the GEM office. Occasional overtime required to meet demands. This is a salaried position averaging 40-45 hours/week.

Supervisory responsibilities

Supervises one or more graduate assistants in the analysis and processing of applications and academic changes. Carries out supervisory responsibilities in accordance with university policy and applicable laws. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance, rewarding and disciplining employees; addressing complaints and resolving conflicts.

Technical competencies

Ability to work with databases and spreadsheets and an understanding of undergraduate and graduate transcripts. Able to use effectively and efficiently the basic Microsoft suite as well as able to quickly learn and use the CRM Recruit and relative interactions within Banner. Able to communicate effectively and professionally by phone and email, using Teams, Zoom and Mongoose (texting) tools.

Interpersonal interactions

Able to interact in a positive and constructive manner demonstrating excellent customer service skills with all constituencies including: prospective students, enrollment team members (staff and student), individuals in campus academic and non-academic departments, and administrators.  Able to supervise those who report to them in a supportive way that also maintains the discipline needed to accomplish the work of the department.
