Position summary
The Administrative Assistant must have a well-rounded collection of technical, organizational, and communications skills. He or she must be well-organized and collaborative with the ability to anticipate team needs in a timely manner. He or she is responsible for the efficient and smooth day-to-day operations of the GLI office.
Qualifications summary
- Minimum academic requirement: High School degree required, bachelor’s preferred.
- Preferred: Experience as an Administrative Assistant or office manager.
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities
- Manages the administrative functions of the Global Leadership Institute (GLI).

- Event management
- Timeclocks for student workers
- Contact partners to confirm speaking engagements
- Office person responsible for ordering purchases
- Assists in the design of the office space
- Coordinates the cleaning and maintenance of the GLI office
- Maintains a database of participants and graduates of GLI programs.
- Aids in the administration of the GLI programs and conferences, including:
- Preparation (e.g., registration, materials, etc.)
- Sending and compiling the results of program surveys.
- Distribution of the certificates and other degree programs (e.g., in collaboration with the School of Leadership)
- Assists GLI’s virtual face-to-face Zoom meetings
- Assists with clerical duties for marketing material for the different GLI programs.
- Helps plan GC presentations
- Orders promotional and marketing materials
- Helps design slideshow presentations for GC reports
- Coordinates communication with all GLI partners and partner organizations.
- Point of contact for GLI partners and partner organizations
- Coordinates and develops training sessions for coaches and LL Associates
- Works with AU entities to keep GLI current and active
- Responsible for monitoring the leadlab@andrews.edu and gli@andrews.edu email
- responsible for monitoring the phone and voicemail for the GLI
- Plans and coordinates meetings with partners and partner organizations’ leaders
- Keeps track of all GLI activities and prepares the annual GLI reports.
- Notion project board management
- Prepare drafts of GLI Report for Annual Council
- And other tasks as assigned
Supervisory responsibilities
Manages the internal administrative functions of the Global Leadership Institute (GLI) and coordinates all contractual with the General Conference–divisions, fields, and partner institutions; Andrews University schools–departments, faculty, and student workers; and other off-campus entities who are served by or support the GLI.
Qualifications

Technical competencies
- Adept at using MS Office, Google Suite, Apple Suite, and communications technologies with a variety of software applications (e.g. Notion, Slack, Teams, and more).
- Able to set up virtual meeting and learning spaces using Zoom and other collaboration software as well as the technical aspects of virtual conferences.
- Able to navigate applications GLI uses to create virtual learning, broadcast, and community spaces (i.e.: LeadLab Network).
- Possesses excellent time management skills and works well in a deadline-driven environment.
- Highly organized with attention to detail with the ability to prioritize work.
- Attention to detail and problem-solving skills.

- Must be comfortable in a rapidly changing, dynamic entity that serves leaders of the world church and supports its mission.
- Must have a love for learning and be willing to adapt to various situations and cultural environments.
- Strong interpersonal communication skills, including active listening and effective collaboration skills.
- Able to work well in a team environment and handle multiple assignments and deadlines.
- Ability to have a flexible schedule to work with the demands of a global clientele.
Physical demands
Must be able to walk up to the office (no elevator). Must be able to lift boxes around the office.
Work environment
Office environment, nose level moderate. No elevator available, so must be able to go up and down stairs.
