Position summary
The Administrative Assistant for the Andrews University Discipleship Center (AUDC) provides critical support to the programs, program director and executive director for the AUDC. This individual has a passion for discipling young people, manages communications, scheduling, and program logistics for both the Discipleship Center and the summer Ignite Discipleship Intensive, while also maintaining effective coordination between students, coaches, instructors, and university staff. The ideal candidate is highly organized, detail-oriented, and committed to the values of Adventist Christ-centered education and discipleship ministry.

Duties and responsibilities
General Administrative Support:
- Serve as the first point of contact for visitors, students, and callers
- Manage departmental email accounts, receive and distribute mail, and maintain office organization
- Maintain calendars and assist with scheduling and communication for the directors
- Coordinate with campus departments (e.g., Dean’s Office, Academic Records, Enrollment, Accounts Payable/Receivable) to ensure smooth operations
Academic and Event Support:
- Manage course schedules, room reservations, and schedule changes
- Prepare and distribute meeting materials (agendas, notices, minutes)
- Plan and execute events and programs, including logistics, facility reservations, catering, communication, and budgeting
- Promote departmental events across various communication channels
- Coordinate instructor schedules and logistics for the Ignite Program
- Organize Discipleship Certificate training with partner academies
- Schedule and coordinate student-leader training sessions
- Reserve facilities and manage logistics for Ignite Program events
- Liaise with Food Services and Residence Hall Deans for summer program needs
- Maintain the coaching calendar and schedule student-coach sessions
- Distribute and manage feedback surveys for Discipleship Center programs
- Provide reports and administrative updates to the Director of the Discipleship Center
Financial and Record Management:
- Prepare and process financial documentation, including expense reports, interdepartmental charges, contracts, and credit card statements
- Maintain and digitize records and files for easy retrieval and long-term storage
- Monitor and purchase supplies and equipment for both departments
Student and Recruiting Support:
- Foster a welcoming and helpful environment for students
- Assist with departmental recruiting by managing contact lists, preparing communication materials, and assembling welcome packages
Website and Social Media Management:
- Manage the Discipleship Center and Ignite Program social media accounts to increase engagement and awareness
- Edit and review all promotional and informational materials for the Discipleship Center and Ignite Program to ensure accuracy and consistency
- Maintain and oversee the communication calendar to ensure timely promotion of discipleship opportunities and events
- Regularly update website content related to Discipleship Center programs and events
Supervisory responsibilities
- Supervise 1–3 student workers
- Assist with recruiting, hiring, training, and scheduling student workers
- Monitor timesheets, resolve payroll issues, and provide performance feedback
Qualifications
Required:
- A college or university degree is preferred, or a minimum of 2–4 years of administrative experience, or an equivalent combination of education and experience
Preferred:
- Strong organizational, administrative, and communication skills
- Experience with social media platforms, basic design tools, and content management systems (CMS) for website updates
- Familiarity with event planning, scheduling software, and survey tools
- Ability to work independently and collaboratively in a fast-paced ministry environment
- Passion for discipleship and alignment with the mission and spiritual values of Andrews University
- Experience in higher education or nonprofit administration
- Familiarity with student development and discipleship programming
Must be a Seventh-day Adventist in good and regular standing.
Technical competencies
- Strong writing, editing, and communication skills
- Proficiency in Microsoft Office, Google Docs, email, and social media platforms
- Ability to learn university systems, including Banner, Recruit, and scheduling tools

Physical demands
- Regularly required to sit, stand, walk, reach, use hands, and speak clearly
- Must be able to lift up to 40 pounds
