Position summary
Under the guidance and in cooperation with the Lead Manager, Adventist Digital Library/Assistant Director, Center for Adventist Research, the digital asset coordinator is responsible for managing the retrieval, receipt, processing and storage of digital files related to the work of the Center for Adventist Research and the Adventist Digital Library.
Qualifications summary
Batchelor's degree in computer related field and two to four years related experience and/or training; or equivalent combination of education and experience preferred in digital asset management.
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities
- Manage all intake of digital assets created by ADL partners and contributors, digital publishers, and others. This intake to ADL systems may involve initiating secure web downloads, email transfer, accessing physical computer storage media, or any other method of digital file transfer.
- Assist with processing incoming digital assets from ADL partners and contributors. Processing tasks include: quality assurance, image processing, file naming and conversion, optical character recognition, and metadata creation.
- Manage all intake of digital periodicals and other digital items for the Center. This intake to CAR systems may involve initiating secure web downloads, email transfer, accessing physical computer storage media, or any other method of digital file transfer.
- Manage the creation of digital metadata for newly received contributions. Will follow established protocols and standards to ensure compatibility and accuracy of the metadata within the scope of the ADL database.
- Manage the permanent storage of digital assets for CAR and ADL.
- Recognize the value of the library’s digital collection and works within established protocols and standards to ensure the ongoing integrity of current and stored digital data. Quickly identify and report issues that result or may potentially result in data loss or corruption.
- Follow established procedures to ingest assets into the digital repository system, set and verify the appropriate level of access.
- Maintain an ongoing appreciation for the preservation and permanent protection of original CAR materials.
- Participate in the development and improvement of CAR and ADL processes.
- Performs other tasks as assigned.
Supervisory responsibilities
The CAR/ADL Digital Asset Coordinator may supervise student assistants in cooperation with CAR and ADL management.
Qualifications
Education
- A bachelor’s degree and/or professional level training in digital asset management or related area is preferred.
- Must be a motivated learner and willing to rapidly learn and apply new skills.
Experience
- Two to four years related experience and/or training; or equivalent combination of education and experience preferred in digital asset management.
- A basic working knowledge and appreciation of Seventh-day Adventist history is desired.
- Must have experience as a team player in an office or project setting.
- Experience using or working with library materials and catalog systems is a plus.
- Knowledge of library metadata standards such as MARC and Dublin Core is a strong plus. Training on relevant library systems will be provided.
Language
Must be able to read, speak, and write fluently in English.
Needed Tenure
A minimum of 24 month commitment is preferred to provide continuity to the work.c

Technical competencies
Two to four years experience and/or training related to digital asset management.
Computer skills
- Must be proficient performing web searches and Internet file downloads.
- Demonstrable knowledge of Microsoft Word and Excel.
- Experience with a computer database system a plus.
- Understand fully the Windows file system and be able to create and maintain complex folder structures as determined by library policies.
- Strong skills with optical character recognition (OCR) software, document scanning and related digitization work is a strong plus.

Physical demands
Requires the following physical abilities to perform job satisfactorily:
- Able to see file folders in the top of a five drawer file cabinet and access them.
- Able to operate a computer for extensive amounts of time.
