Position summary
The Administrative Assistant to the Dean provides high-level administrative support for the Dean, the Assistant Dean, and the Financial Services Manager in the School of Distance Education. The incumbent is to support project management and administrative duties.
Qualifications summary
This individual must be highly organized and provide oversight for all ongoing projects and assure deadlines are met. This position requires a candidate with excellent written and verbal communication skills, project management skills, complex problem solving and critical thinking skills, and the abilities to prioritize work, use time effectively, and manage multiple demanding projects simultaneously. This individual must use discretion, sensitivity, and sound judgment to handle or refer a wide range of people and/or issues.
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities
- Keeping the Dean prepared for meetings and events
- Maintaining calendars for Dean, Assistant Dean and Financial Services Manager
- Screening calls, receiving and directing visitors for the Dean
- Making travel arrangements for the Dean, Assistant Dean and Financial Services Manager
- Processing the Dean’s expenses, travel and reimbursements
- Processing the Dean’s credit card statements
- Planning and executing special events and special projects
- Planning internal and external meetings
- Preparing agendas and associated materials for school meetings and committees
- Maintaining Dean’s files, documents, and archives
- Serving as back-up support for the front desk
- Performs other duties as assigned

Qualifications
Bachelor's degree preferred.
Minimum of 2 years of experience preferred.
Must be a Seventh-day Adventist in good and regular standing.
Technical competencies
Must possess excellent computer skills with proficiency in Microsoft Office.
Interpersonal interactions
Candidate will interact with senior University administrators and managers, SDE and GIA staff, students, parents and the general public. Must be able to communicate effectively and be courteous when interacting with others to create a positive impression.
Physical demands
While performing the duties of this job, employee will regularly be required to sit, walk and stand; talk or hear, both in person and by telephone; and use hands repetitively to operate standard office equipment.
Work environment
Typical office conditions. Noise level is usually quiet.
