Position summary
Responsible for a smooth operation of the office of the Nursing Department while supporting the departmental chairperson and faculty on specific projects for both the undergraduate and the graduate programs
.
Qualifications summary
A bachelor’s degree is preferred; however, office experience is required. Additional experience with recruitment or marketing of some type is desired. Knowledge of Microsoft Word, Excel, Powerpoint and other computer programs is required.
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities
Includes the following, but other duties maybe be assigned, and some may be changed based upon the needs of the department:
- Ensures the effective and efficient functioning of the office of the Nursing Department
- Manages the office budget, all aspects of financial transactions and periodically prepares reports as required.
- Processes payment for all invoices, external as well as interdepartmental
- Composes routine correspondence with donors and other departments
- Oversees routine correspondence and filters e-mails, manages the Department Chair’s calendar and other office support duties.
- Coordinates luncheons, meetings, special events and prepares materials accordingly within the department and as it pertains to the Advisory Board.
- Coordinates departmental luncheons and special events for students and faculty
- Keeps records to keep track of student CPR cards, immunizations and BS-completions student’s licenses.
- Correspond with undergraduate students regarding admission into program and progression status based on committee decisions.
- Recorder of departmental meetings such as: full faculty, clinical practicum, undergraduate curriculum and admissions and progressions committee meetings
- Recorder of Professional Degree Council for Nursing Department
- Designs and produces signs and flyers for departmental events.
- Communicate with chairperson about appointments that need to be scheduled.
- Proctor student testing in computer labs.
- Maintain updated faculty folders to include: CV’s, annual faculty reports, CEU’s, peer evaluations, faculty development plans and student evaluations.
- Manage and research scholarship avenues for nursing students.
Marketing and Enrollment/Recruitment
- Creates and implements projects associated with Marketing and Public Relations
- Maintain advisor-of-the-day schedule for incoming calls regarding information about the program and communicate it to Enrollment Services.
- Maintain and provide positive relationships with current students, prospective students, parents, community health care facilities and churches.
- Maintain and update Nursing web page periodically.
- Maintain and update Student Handbook online and printed form
- Send out email and hard copy information in response to student inquiries given to the department by enrollment services or that come by telephone/email.
- Functions as a student liaison by providing assistance in solving problems that arise for them.
- Attend designated marketing events to promote the graduate nursing program.
- Complete follow-up on graduate students to ascertain marketing yields of marketing plans/
- Review and assisting enrollment services in designing and maintaining graduate and undergraduate brochures.
- Make necessary business contacts graduate program needs.
- Analyze and develop ways to connect with healthcare systems to recruit graduate students.
Supervisory responsibilities
None required unless working with students.
Qualifications
Language Skills – Ability to read, analyze and interpret is required. Ability to write reports, engages in business correspondence, etc. is required. Must have the ability to effectively present information and respond to questions from various groups.
Mathematical Skills – Ability to calculate figures and amounts, etc.
Must be a Seventh-day Adventist in good and regular standing.

Physical demands
The employee is required to regularly use hands to finger, handle, etc. Sitting is frequent, standing is occasional, as is walking and reaching. Occasional lifting or moving up to 10 lbs. is required.

The work environment characteristics described are representative of those an employee would encounter while performing the functions of this job. The noise level is usually moderate.
