Position summary
The Assistant to the Associate Dean is responsible for supporting the smooth operations of the Department of Digital Learning and Instructional Technology, including consortium faculty processing and support, managing the departmental finances, organizing training events and resources, conducting data analysis on the effectiveness of online programs, and preparing reports and statistics.
Qualifications summary
The candidate should have excellent customer service and writing skills, and the ability to manage multiple projects at once. Ability to observe discrepancies, solve problems, and use Excel for managing financial records is essential. Ability to supervise student workers and work in a collaborative team is important for success. Maintaining confidentiality and accurate records is required.
Must be a Seventh-day Adventist in good and regular standing.
Duties and responsibilities
- Manage the department finances, record keeping, and ordering
- Provide quality support for adjunct faculty
- Ensure problem resolution and satisfactory results for reported problems and issues
- Ensure adjunct faculty follow Andrews procedures and policies
- Organize events and workshops
- Analyze data for online programs and courses and prepare summary reports and statistics
- Keep accurate records in Access
- Manage communication with consortium partners, online reviewers, and adjunct faculty
- Supervise student workers
- Ensure consistent application of procedures for all DLiT student workers
- Manage the associate dean's calendar and communication
- Provide support in maintenance of the School of Distance Education and DLiT websites
- Gather and coordinate annual reporting of statistics for online learning
- Other duties as assigned

Qualifications
- Fifth year college or university program certificate/degree graphic design or related field; or two to four years related experience and/or training; or equivalent combination of education and experience
- Quick learner, quick to ask questions

- Strong writing skills, with the ability to write in a clear and lively style
- Competent in Excel and Access
- Ability to maintain financial records, and analyze data

Technical competencies
- Proficient in Excel (vlookup, multiple sheets, formulas, data analysis, summary reports, financial record keeping)
- Proficient in accurate data entry in databases (i.e. Access)

Physical demands
Must be able to focus on a computer screen for length of time
Work environment
The DLiT office is a semi-open space with moderate noise. Customers come and go, receiving assistance from multiple team members. Multiple meetings with customers may occur in a semi-open space at the same time.
