Microsoft Exchange

Where applicable, faculty and staff are issued a Microsoft Exchange account for email and calendar collaboration while employed at Andrews University.
If you are a new full-time and regular faculty or staff, please create a work order or contact your ITS building technician to create a Microsoft Exchange email account.
On University-issued computers, Microsoft Outlook is the recommended email program to use.

Adjunct/Contract (non-regular) Faculty & Staff may access your Andrews email on the AU Gmail system (gmail.andrews.edu).

Overview

Andrews University uses an on-premise tiered mailbox Exchange system for employees. This means that this email system is managed by Andrews ITS personnel on campus.
The default mailbox size is 3 gigabytes (GB). If your storage space goes beyond 2.5 GB, you will receive a email reminder that you should take action to free up space. Once your mailbox reaches its quota, you will still be able to receive email, but will no longer be able to send. At this point, action must be taken to clean up your mailbox.

Remember, large amounts of email in your mailbox can reduce the efficiency of your Outlook-Exchange connection.  Consider moving old email messages to a network share or to your local computer.  Consult your ITS building technician for more information or to request more space  Due to finite resources, the University reserves the right to not increase the amount of space on Microsoft Exchange mailboxes.  ITS encourages employees  to work with their ITS building technician on mailbox management, and if necessary the tech will escalate the issue to a system administrator for further resolution.

To connect to your Andrews Exchange email, choose your mobile device or email app:

For personal devices only

  1. Go to: Settings  >  Mail, Contacts, Calendars  >  Add Account
  2. Tap Exchange
  3. Enter the following information:
    • Email: Enter your Andrews email address  (for example, 'tony@andrews.edu')
    • Password: Enter your Andrews password
    • Description: Enter a name for your account
  4. Select Next
  5. Complete the following information:
    • Server: exchange.andrews.edu
    • Domain: inside
    • Username: Enter your Andrews username (for example, 'tony@andrews.edu' would be 'tony')
  6. Select Next
  7. Choose the type of information you want to synchronize between your account and your device, then select Save
NOTE: Due to variations in Android devices, not every Android-based device will work in the same way and the following guide may not be exactly as described on your device.

  1. Navigate to: Settings  >  General  >  Accounts
  2. Select Add Account
  3. Select Microsoft Exchange ActiveSync
  4. Enter your Andrews email address, then select Next
  5. Enter your Andrews password, then select Manual Setup
  6. Complete the following information:
    • Domain\username:  inside\username
      (For example, if your AU email is 'tony@andrews.edu', your username would be 'tony')
    • Exchange server:  exchange.andrews.edu
  7. Select Next
  8. When the Remote security administration message appears, select OK
  9. Configure the Account options, then select Next
  10. Enter a name for the account then select Done
  1. On Start, swipe left to the list of applications, select Settings  >  email + accounts.
  2. Select add an account > Outlook.
  3. Enter your Andrews email address and password, and then select Sign in.
    Windows Phone will try to set up your email account automatically. If setup completes successfully, skip to step 8. Otherwise, continue to the next step.
  4. Select Sign in
  5. If the email account can't be set up automatically, the message, “We couldn’t find your settings” will appear. Select Advanced and complete the following information
    • Server: exchange.andrews.edu
    • Domain: inside
  6. Select the Server requires encrypted (SSL) connection box.
  7. Select Sign in.
  8. Select OK if Windows Phone  asks you to enforce policies or set a password.
  9. Select Done

If you're using BlackBerry 10, set up your account using Exchange ActiveSync. Exchange ActiveSync lets you synchronize email, calendar, contacts, tasks, and memos with your account. In most cases, your device will set up your account in just a few simple steps.

  1. On the BlackBerry 10 home screen, select Settings.
  2. On the System Settings page, select Accounts. If you haven't yet created any accounts, select Add Account.
  3. On the Add Account page, select Email, Calendar, and Contacts.
  4. Type your email address and select Next.
  5. Type your password and select Next. The Looking up connection information message displays. Your device tries to set up your email account automatically.
  6. If it finds your connection information, specify the information you want to synchronize with your account, and select Done. You will see your account listed on the Accounts list. Go to the BlackBerry Hub to access your email account.

If it can't find your connection information, you'll see a message recommending that you use advanced setup steps. If this is the case, see the next procedure. Use the following steps to use advanced settings to set up your Exchange ActiveSync connection to your account.

  1. On the BlackBerry 10 home screen, select Settings.
  2. On the System Settings page, select Accounts. If you haven't yet created any accounts, select Add Account.
  3. To get to advanced setup, on the Add Account page, select Email, Calendar, and Contacts.
  4. Select the menu icon beneath the Email Address box to access advanced setup options
  5. On the Advanced Setup page, select Microsoft Exchange ActiveSync
  6. Enter the settings for your account as follows. If you had just tried the previous procedure, some of these settings may already be entered for you.
    • Description: give your account a name.
    • Domain: inside
    • Email Address:  your Andrews email address. (for example: tony@andrews.edu)
    • Username: your Andrews username. (for example, tony@andrews.edu is 'tony')
    • Password: your Andrews password
    • Server address: exchange.andrews.edu
  7. Select Next. The "Checking for supported services and policy information" message displays.
  8. On the next page, specify the information you want to sync, and then select Done. The "Saving and verifying your settings" message displays.
  9. If your account was set up, you will see your account listed on the Accounts list. Go to the BlackBerry Hub to access your email account.

If you see the message that your account cannot be authenticated with your service provider, click OK, then Previous, then verify that your settings are correct.

Outlook 2019
  1. Open Outlook
  2. Go to: File  >  Info  >  Add Account
  3. Verify your correct email address is displayed, then select Advanced options
  4. Select Let me set up my account manually
  5. Select Connect
  6. Select Exchange
  7. If you receive a message saying "Allow this website to configure _________@andrews.edu server settings?", select Allow
  8. When three green check marks appear, you have successfully configured your Microsoft Exchange account in Outlook.  Select Finish
  9. If prompted to restart Outlook, select OK.
  10. If prompted, login to Outlook with your Andrews username and password.  Include: inside\ before your username.
  11. The Exchange mailbox will appear in the Folder Pane (left column)
Outlook 2016 and older
  1. Open Outlook
  2. Go to: File  >  Info  >  Account Settings  >  Account Settings...
  3. Select New
  4. In the "E-mail Address:" field, enter your Andrews email address
  5. Select Next
  6. If you receive a message saying "Allow this website to configure _________@andrews.edu server settings?", select Allow
  7. When three green check marks appear, you have successfully configured your Microsoft Exchange account in Outlook.  Select Finish.
  8. If prompted to restart Outlook, select OK.
  9. If prompted, login to Outlook with your Andrews username and password.  Include: inside\ before your username.
  10. The Exchange mailbox will appear in the Folder Pane (left column)

If Starting Outlook for Mac for the First Time

  1. Open Outlook for Mac
  2. If a message appears saying "Microsoft Outlook would like to access your contacts", select OK
  3. In the next window, enter your First Name, Last Name and optional Company Info, then select Continue
  4. In the next window, answer the customer improvement questions, if any, then select Continue
  5. In the next window, do the following:
    • Place a check my "Make Outlook the default applicationfor e-mail, calendar and contacts", then select Add Account
    • Select Exchange or Office 365
  6. Fill in the following:
    • E-mail address:  Enter your Andrews email address
    • Method:  Select User Name and Password
    • User name:  inside\username (Where "username" is your Andrews username. For example, the username for 'tony@andrews.edu' is 'tony')
    • Password: Enter your Andrews password
  7. Uncheck Configure automatically
  8. Server:  exchange.andrews.edu
  9. Select Add Account
  10. Optionally, you can adjust the account display name by modifying the "Account Description" field after the account has been added

If An Account Already Exists

  1. Open Outlook for Mac
  2. Go to:  Outlook  >  Preferences...  >  Accounts
  3. Select +  >  Exchange...
  4. Fill in the following:
    • E-mail address:  Enter your Andrews email address
    • Method:  Select User Name and Password
    • User name:  inside\username (Where "username" is your Andrews username. For example, the username for 'tony@andrews.edu' is 'tony')
    • Password: Enter your Andrews password
  5. Uncheck Configure automatically
  6. Server:  exchange.andrews.edu
  7. Select Add Account
  8. Optionally, you can adjust the account display name by modifying the "Account Description" field after the account has been added
NOTE: Due to variations in Mail and macOS versions, the following guide may not be exactly as described on your device. This guide is based on Mail v12.4.

  1. Open Mail.  If opening Mail for the first time, skip to step 3.
  2. Go to:  MacMail  >  Add Account
  3. Select Exchange
  4. Enter the following:
    • Name: Enter your full name
    • Email address: Enter your Andrews email address, then select Continue
  5. Select Configure Manually
  6. Enter your Andrews password, then select Sign In
    MacMail will try to discover your account settings.
  7. Select which components you would like MacMail to synchronize
  8. Select OK. MacMail will begin sychronizing your account

Exchange users can access their corporate email by connecting to: https://exchange.andrews.edu
Sign on with your Andrews username and password. If your Andrews email is tony@andrews.edu, your username is tony.
Exchange is the corporate email, calendar and contact system developed by Microsoft and used by eligible employees at Andrews University.

Outlook is the email program or app, also developed by Microsoft and part of the Microsoft Office software suite, used to connect to various corporate email systems such as Microsoft Exchange or other web-based email systems like Gmail, Hotmail or Yahoo, using established connection protocols such as IMAP, POP or Exchange.
Some time after an employee separation occurs (retirement, resignation or termination), email on their Exchange system is migrated to the Andrews Gmail system. Out-going employees may work with their ITS building technician to ensure a smooth email transition.  Additional information regarding the employment exit process can be found at the Office of Human Resources online resource.
Due to security concerns, the UNIX email system has been decommissioned. Employees of Andrews University are expected to have a Microsoft Exchange email account (where applicable). To create your Exchange account contact your ITS building technician or email helpdesk@andrews.edu.
