Position summary: The Adventist information Ministry (AIM) is a service/ministry of the North American Division of the Seventh-day Adventist Church. The Administrative Assistant performs diverse office/secretarial duties for AIM. Assists in designated administrative details using initiative and sound judgment. May handle documents and correspondence of a highly confidential nature. A high level of technical skills (well developed keyboard/computer, etc) plus superior communication skills, tact, friendliness and other aspects of strongly developed interpersonal skills and organizational levels are crucial.


Authority, Accountability: The work is extremely varied and performed with limited supervision. Authority as delegated by the supervisor. There are specific guidelines to follow but the work requires the ability to carry out duties and meet deadlines independently. Responsible to the AIM Director and Senior Staff.

Essential job functions:

  • Perform receptionist functions for those visiting AIM
  • Maintain a well organized office (including filing system and routine supplies), often in the absence of a supervisor.
  • Take business line telephone calls; assist in call-ins during heavy call loads; maintain familiarity with phone system and call procedures.
  • Process incoming mail–opening, sorting and distribution as well as familiarity with postage system and making certain daily mail is delivered to post office in a timely manner.
  • Prepare correspondence and other communication items at the request of AIM staff.
  • Attend staff and employee meetings; serve as custodian of minutes, documents and distribution to staff
  • Keep “visual” inventory of office supplies, replace as needed
  • Carry much of the office responsibilities when supervisor is unavailable.
  • Ability to communication through all levels of organization.


Knowledge and Skill: Must exhibit extensive initiative, producing first rate work with minimal supervision. Adaptable and able to evaluate priorities. Ability to perform secretarial and support duties with speed and accuracy. Must be creative in writing letters/documents/handbooks, etc. Requires well developed knowledge of AIM policies and practices. This individual should have a well-developed knowledge of principles, policies and beliefs of the Seventh-day Adventist Church.


Physical requirements: Must be able to read, hear and speak English clearly, to effectively communicate both orally and in writing. Some standing, walking, bending, kneeling, carrying of light items, etc. required.
