Personal Information


How do I change my address?  Why does Andrews need my address?
Students, faculty and staff may change their address by logging into the Andrews University Vault and accessing the "Addresses" tab on the left.  The address in Vault is used for mailing financial statements, grades, diplomas and transcripts, as well as notifcations and publications.  In order to receive these important documents at the correct address, please be diligent in keeping your address updated.

How do I change my emergency information?
Students, faculty and staff may change their emergency information by logging into the Andrews University Vault and accessing the "Emergency Info" tab on the left. Please ensure that your emergency information is accurate and up-to-date.

Where do I get my ID number?
Students can access their ID number by phone or by logging into Vault.  You can receive your ID number by calling Academic Records at 269.471.3375.  You will need your Social Security Number and date of birth. This information is only available to the student.

How do I declare a major? How do I change my major? Add or drop a minor or major? The Office of Student Success is available to declare majors or for minor or major changes. You can visit them in Nethery/Buller Hall on the second floor or call 269.471.6096 or email success@andrews.edu with your name, ID number and the necessary changes.

How can I see my grades? Can I get my grades over the phone?
You may access your grades within Vault by clicking on the "Banner Web" tab and then choosing "Student Services."  We do not give out student grades over the phone.

How can I see my class schedule?
Students can find their class schedule by the following order of links through Vault:

Vault>>Student Records>>Class Schedule.

How do I register? When can I register?
You can register by accessing Registration Central through these tabs:

Vault>>Banner Web>>Student Services>>Registration. 

A student must be financially clear before he/she can register for classes starting August 15 for Fall Registration and December 15 for Spring Registration.  Students without financial clearance may reserve courses online at Registration Central during the following times listed by term below:

            Summer Semester – end of March until early May

            Fall Semester – end of March until August 15

            Spring Semester – end of October until December 15

            When Financial Clearance is completed, reserved classes will automatically become registered/confirmed. 

What happens if I do not get Financial Clearance? When do I get financial clearance?
If the student does not receive Financial Clearance, the class reservations are unconfirmed and will be cancelled after the deadline.

I was assigned a fee on my record for a "Late Registration Fee."  What are late registration fees?
There are two types of late registration fees.  For initial (first time) registration for a given semester, students must register within the open registration period.  Intial registration done after the deadline will involve a processing fee of $70.  Students who have registered within this open registration period may make changes to their registration, or Add/Drop, up until the Add/Drop deadline without a fee.  After the Add/Drop deadline, any student making registration changes, including adding or dropping a class, changing from credit to audit, or changing credit amounts, will be charged a processing fee of $30.

I want to take two classes but they are scheduled at the same time.  Is it possible for me to take both of them?
Students who would like to register for two classes must obtain the approval of both instructors and the dean or deans of the school which offers the class.  The student must obtain and submit the Class Conflict Form from and to Academic Records.

I want to take an Independent Study.  What do I need to do?
Independent studies except music lessons can be registered online once an instructor has granted a registration override.  For students wishing to pursue independent music lessons, please visit the Department of Music to arrange them.

What is an (academic) overload?
An overload occurs when a student is pursuing more than 16 credits.  If you wish to take more than 16 credits thereby giving you an overload, you must obtain the dean's signature on an Add/Drop Form for approval.

I want to take classes at another university.  What do I need to do?
If you would like to be a guest student at another Michigan university or college, please obtain a Michigan Uniform Undergraduate Guest Application from Articulation in Office 204 of Academic Records.  For all other universities or colleges outside of Michigan, please obtain a Transient Student Request Form.  It is also advisable that you refer to the college you would like to attend for the deadlines regarding guest applications.

What is a degree audit?
A degree audit is a computer-generated analysis that enables the student and his/her adviser to assess the student's academic progress and unfulfilled degree or minor requirements. The audit is a valuable tool for academic planning and course selection, because it matches the courses that the student has taken with the requirements of his/her degree program or anticipated program.  Students may generate a degree audit by accessing their account in iVue.  Audits are usually generated for students during the third year of their degree plan to enable the student to plan for required courses and to ensure that degree requirements are met.

What is a DG?
DG stands for Deferred (temporarily withheld) Grade.  A DG may be given in certain courses recognized to be of such a nature that all requirements are not likely to be completed within one semester, such as tours, field/clinical experiences, internships, project and independent study courses, courses requiring research and courses where mastery-level learning is required.  Please note:  The Office of Academic Records records a DG only for courses previously recommended by a department and approved by the dean of the appropriate school and/or graduate program committee.

What happens when I get a DG? 
When a student is assigned a DG, the instructor may designate a time limit for a given course or for a specific situation for the DG to be changed to a letter grade. DGs will appear on a student's transcript at graduation if the course does not count toward the degree.

What is a DN?
A DN stands for "Deferred and Not Completable."  This means that the course has not been completed and can no longer be completed because the deadline has passed.

I need to drop all of my classes for a semester--but I don't want to withdraw from the University.  What do I do?
Students who need to drop all of their classes for reasons such as illness or personal matters for a semester should obtain a "Student Exit Procedure" form from Academic Records. This form is specifically for withdrawing from your semester classes, NOT withdrawing from Andrews. 

What does it mean to "audit" a course?
The term "Audit" means to register for attendance only--meaning students are not assigned grades within the grades scale of A to F, but on their transcripts/academic record are given one of the following: AU (Audited Class), HN (Honors Audit), UA (Unsatisfactory Audit), or UH (Unsatisfactory Honors Audit).  While students are expected to attend all class appointments, they are required to attend 80% of the class periods in order to receive an AU or HN, or they will receive a UA.  Audited courses have the same tuition charge as a course taken for credit.  It is possible to audit any class except private music lessons and independent study courses if (1) there is room in the class (2) the student has an appropriate background and (3) the instructor gives permission to attend (Please see page 28 in the Bulletin for more information).
Students may change from "credit" to "audit" registration by submitting a Change of Registration by Add/Drop Form to Academic Records with the appropriate signatures. 

Two (or more) of my final exams conflict on the final exam schedule.  What do I do?
Students who have exam conflicts should consult with their academic dean in order to arrange alternative testing times with their professor.

My car insurance/loan company/job/health insurance requested proof (degree or enrollment verification) that I am or was a student.
Students can obtain a degree or enrollment verification from Academic Records at the Operations Assistant's desk.  Please note that enrollment verifications will reflect EXACTLY what your record indicates:  if you request an enrollment verification for an academic term which has not begun yet, then what you will actually receive is a pre-enrollment verification. Enrollment is achieved once the semester begins.

Transcripts


How do I order a transcript?
Former students and alumni may order a transcript by following the instructions on the transcript request page:  Transcripts Requests.

Why can't I make a transcript requests over the phone?
We do not take requests over the phone.  Federal law and FERPA require documented authorization by the student to release their information to third parties because of the nature of private information.

Can I receive a copy (official or unofficial) of my own transcripts?
Students can receive a copy of their own transcripts if they do not have a financial hold on their account.  Then transcripts can only be sent for employment purposes.  Our current Transcript Request includes a mailing address where you can specify the transcript to be sent, including your own.

How long does it take to process a transcript?
We define our normal processing for regular service and regular mail to be a minimum of 5 business days, in addition to travel time by regular mail.  Please note:  Academic Records, including Transcripts Services, will observe Memorial Day on May 30.  This will affect processing times.  We offer the option of 24-hour processing for express mail. Within the US this option is available with a charge of US $25.00.  For international mail the price and transit time will vary depending on the location, with a general estimated arrival time after 2-3 business days. 

Can we overnight a transcript?
No. The Andrews University Post Office does not offer overnight delivery. Please plan accordingly for your time-sensitive materials.

Is there a charge for transcripts?
Academic Records provides the service of transcripts processed in Regular Service and sent by regular mail at no charge to former students and Alumni.*  You also have the option of 24-hour Processing Service with a charge of US $25 per transcript with Express Mail.  It takes five business days for us to process in addition to regular mail times. 

*Academic Records reserves the right to require a fee after a certain amount of regularly processed transcripts.

How many transcripts can a person request?
There is no limit, however, we reserve the right to determine when charges should be made in individual cases of high numbers of transcript requests.

If a student has any type of financial hold, can a transcript be released?
Only if it is for employment purposes. Then a transcript can be sent to the employer but not to the student.

But don't students have the right to see their own information?
Yes!  By law students have the right to come view their information within the Office of Academic Records, however, by law we cannot release information if there is a financial hold.

I have a document that needs to be sent with my transcripts. How do I arrange to have the document included?
The Transcript Request form includes the option of special instructions. 

What is the National Student Clearinghouse?
Please feel to visit the website of the National Student Clearinghouse.
The National Student Clearinghouse is a non-profit organization founded by the higher education community which maintains a comprehensive electronic registry of student records that provides a single, automated point-of-contact for organizations and individuals requiring timely, accurate verification of student enrollment, degree, and loan data. 

Is the National Student Clearinghouse safe? Can I be sure my information will be safe?
Yes, the Clearinghouse is secure and follows FERPA. It is used by 92% of universities and colleges across the country for confidential student information. NSC is also bound by security and confidentiality laws.

Can I still use the Clearinghouse even if I don’t have a Social Security Number?
Yes.  You can use your student ID number when requesting your student information from the National Student Clearinghouse (NSC).

I don’t have an email address or a credit/debit card. Can I still get an official transcript?
Yes.  You can make a request for Regular Service in person, by fax or by mail.  If you would like to order 24-hour Processing Service or Expedited , please indicate on the Transcript Request form in your chosen method of request.

I need an unofficial transcript. Can I request that through the Clearinghouse?
No.  Unofficial transcripts are not processed through the NSC.  You may request an unofficial transcript by fax only.

Can transcripts be emailed or sent electronically?
No. We send transcripts by mail or fax only.

How do I know other schools will accept my Andrews University credits?
Please note that the decision to accept an institution’s academic credits is at the sole discretion of the receiving institution.  While Andrews University is fully accredited by the Higher Learning Commission and expects that its credits will be recognized by other colleges and universities, it cannot compel another institution to accept transfer credits.

Do we release transcripts of a student that we have received from other universities to the student?
No. If a current or former student has requested in the past official transcripts of other universities to be sent to us, we do not release these transcripts. They need to request a transcript from their previous university.
