     2010-2011 Wellness Discount for AU Employees
    For those who are eligible for Andrews University health insurance benefits and wish to obtain the discount on premiums for the 2010/2011 plan year, please complete the following three (3) components by the specified deadline dates:

    1. Heart Health Blood Screening - Employee and his/her qualifying spouse: Starting March 1, 2010, sign up for the heart health blood screening at www.andrews.edu/HR/HRA. The screening will be offered on campus March 30, 31 and April 7, 8, 2010 in the Hoosier and Lincoln Rooms at Dining Services.

    2. Health Risk Assessment - Employee and his/her qualifying spouse: Starting April 1, 2010 complete the health risk assessment (HRA) online at www.healthwebtools.com after you receive your biometric results from the heart health bold screening. (Approximately 3 weeks after your appointment time.) You will receive your login information via postal mail. It will arrive in a letter size plain white envelope the week of March 22, 2010. Do not throw it away. Due June 1, 2010.

    3. Wellness Commitment Form - Employee and his/her qualifying spouse: complete the wellness commitment form. Complete the wellness commitment form by logging into the Benefits Management System Home Page www.andrews.edu/go/mybenefits (scroll down to News and Library). Print, fill in, sign and send to Benefits in the Office of Human Resources (or you may scan the signed completed form and e-mail it to benefits@andrews.edu). Due June 1, 2010.

     NAD Retirement Seminar with Del Johnson
    On Sunday, April 4, Del Johnson from the NAD Retirement Office will be presenting a seminar on retirement planning and benefits for all Andrews University employees.

    The seminar will be held from 4:00 p.m. until 8:00 p.m. in the Lincoln, Hoosier, and Badger Rooms in the Campus Center. A light supper of soup and salad will be served.

     2009 Stimulus Package
    Scott Schalk, CFP (Financial Advisor) will present: 2009 Stimulus Package: What\\\'s In It For You?

    The new American Recovery and Reinvestment Act, according to the White House, will give a direct tax break to 95 percent of workers and their families. It includes tax breaks to everyone from families with children in college, to first-time homebuyers, to new car buyers and to people doing home improvements. But while you may get more money from the tax break, you\\\'ll want to learn how to avoid paying more taxes later. Come learn how you can take advantage of the new provisions and save more of your hard-earned money.

     HR Staff Changes
    Human Resources welcomes a new face to our team, Julie Jones, and we bid farewell to another team member, Iris Chuah.

    Julie Jones replaces Marla Hayman as the administrative/service records assistant. Marla accepted a position as an human resources generalist at East Tennessee State University. We will miss Marla and congratulate her on this new step in her career. Julie is new to the Berrien Springs area, having moved here from Portland, Oregon, with her husband Nick. Please welcome Julie when you come through our office!

    Iris Chuah is leaving Andrews University to accept a position as director of human resources charged with the task of merging the operations of the HR offices of Hong Kong Adventist Hospital and Tsuen Wan Adventist Hospital. Iris began her time at Andrews University in December of 1998. She has held her current position of Associate Director of Human Resources since 2003. Says Iris, “It has not been an easy decision to leave Andrews because I believe in the mission of this institution. I want to thank the HR team, the administrators, and the numerous individuals on this campus for the opportunity to have served a Christian institution.” We wish her well in her new endeavors and thank her for all the contributions she has made to the University.

     Employee Town Meeting with Hartford Insurance
    Andrews University is pleased to introduce Hartford Insurance, our third party insurance provider for supplemental life and accidental death & dismemberment insurance.

    Please come and meet the representatives from Hartford at any one of the following meetings:

    Tuesday, September 30 : 12 noon - 1:00 p.m.
    Tuesday, September 30 : 4 p.m. - 5:00 p.m.

    A Hartford representative will present the company services and answer your questions.

    These meetings will also constitute the beginning of open enrollment for these specific benefits.

    The next Employee Wellness Screenings will be in PMC Commons on September 23 and 24 between 7:30 a.m. and noon. To participate in the Employee Health & Wellness Screening, www.andrews.edu/HR/HRA to sign up.

    This event will count as one of your qualifications for enrolling in the wellness discount for your health insurance plan. For more information, contact benefits@andrews.edu.

You will be given an opportunity to update certain benefit plans with open enrollment periods as well as required to enter your beneficiary information for each relevant plan.

    To obtain detail information, we strongly encourage you to plan on attending one of the remaining meetings at the following location, days and times:

     Last Opportunity for Health Screening!
    KUDOS to the 595 (Wow!) employees and spouses who signed up for the health screening and thank you too to those who have completed their wellness profile and letter of commitment to wellness. For those who have not signed up but wish to participate in Andrews University health insurance benefit and obtain the discount on their health insurance premiums for the 2008/2009 plan year, you have one last opportunity to have your health screening done on April 16.

    Please remember that you and your spouse must also complete ALL of the other components of the wellness program to qualify for the discount by the specified deadlines (in red and UPPERCASE):

    1. HEART HEALTH BLOOD SCREENING – there is only one day left for health screening and that is on April 16 from 6:30 am to 12 noon. We have run out of appointment times but the Lakeland team will be glad to take walk-in on April 16. Instructions for the health screening are found at http://www.andrews.edu/HR/HRA/. (For those who miss all the health screening dates, there will be another date set up in September and your discount will start in October if you wish to participate in the screening at that time.)

    2. PERSONAL WELLNESS PROFILE QUESTIONNAIRE - Complete form at https://wellsuite.com/lakelandregional/vpwp/approot/login.asp?company=LakelandHealthCare&group=AndrewsUniversity before your appointment time. Instructions are at http://www.andrews.edu/HR/ben_wpq_instructions.html. (Lakeland will close the questionnaire website on APRIL 18, 2008 to tally results for the appropriate premium rates for employees to be entered in time for the new year.)

    2. LETTER OF COMMITMENT TO WELLNESS – Print form at http://www.andrews.edu/HR/documents/wellnesscommitment.pdf by APRIL 18, 2008. Please complete and sign, and send to Employee Benefits at Human Resources or you may scan and email to benefits@andrews.edu. Please check your email for confirmation of receipt.

    3. ENROLL for your desired health plan between April 15 and MAY 15, 2008. The enrollment website is not available yet but you will receive an announcement on Friday, April 11 with details and the link to the open enrollment website.

     Employee Benefits: MUST-DO for your 2008/2009 AU Health Insurance Plan
    For those who are eligible for Andrews University health insurance benefits and wish to have insurance coverage and obtain the discount on premiums for the 2008/2009 plan year, please complete the following four (4) components (in bold letters) by the specified deadline dates (in underlined UPPERCASE).

    1. Sign up for the heart health blood screening at http://www.andrews.edu/HR/HRA/. The screening will only be offered on campus on March 26, 27, 28 and April 1, 2, and APRIL 16, 2008. (For those who miss these dates, there will be another date set up in September and your discount will start in October if you participate in the screening and the other components at that time.)

    2. Complete the personal wellness profile questionnaire at https://wellsuite.com/lakelandregional/vpwp/approot/login.asp?company=LakelandHealthCare&group=AndrewsUniversity before your appointment time. Instructions are found at http://www.andrews.edu/HR/ben_wpq_instructions.html. If you have set up a previous profile on this website and have not used the standard format for your User ID, please come to the employee benefits office to pick up a sealed envelope from Lakeland containing your User ID. (Lakeland will deactivate the questionnaire website on APRIL 18, 2008 and tally results for us to be able to enter the appropriate premium rates for employees.)

    3. Complete the letter of commitment to wellness at http://www.andrews.edu/HR/documents/wellnesscommitment.pdf by APRIL 18, 2008. Please print, sign, and send to Employee Benefits at Human Resources or you may attach and email to benefits@andrews.edu.

    4. Enroll for your desired plan between April 15 and MAY 15, 2008. The website for open enrollment will be available on April 15.

     New HR Staff
    Human Resources welcomes two new faces to our team, Marla Hayman and Michelle Wallis, and we bid farewell to two valued members, Delina Pryce McPhaull and Tammy Horton.

    Marla Hayman replaces Delina as the administrative/service records assistant. We will miss the creativity and writing skills that Delina brought to her job. Delina and her husband, Ben, accepted a call to pastor in California. Marla is an alumnus of Andrews University, and she has a keen interest in the field of human resources, having previously worked in our department as well as at an external HR firm.

    Michelle is assuming the position of benefits assistant position from Tammy who has been a tremendous resource in the area of insurance. She leaves Andrews University to pursue part-time work at another institution. Michelle comes to us with a high level of professionalism and dedication to working for an Adventist institution.



    We know that you will benefit from the knowledge, friendliness, and willingness to help of both of these two new employees. During the next few weeks as both persons learn more about the work that is specific to our institution, we request your cooperation and patience as we strive for a smooth transition.

     Meeting with New Health Insurance Administrator & Open Enrollment
    Andrews University is pleased to introduce ASR Corporation, our new Third Party Administrator for employee health insurance. ASR will be replacing IBA on July 1, 2006.

     Increase in Health Insurance Premiums
    A 10% increase in the premiums for the Andrews University health insurance will take effect on July 1, 2006. However the increase will be 5% if the employee (and spouse if spouse is on AU insurance) participates in the upcoming health screening.

    Registration for the Health Screenings is only available online: http://www.andrews.edu/HR/HealthScreening/.

    If you are on AU health insurance and did not pick up your Personal Wellness Profile Questionnaire at the Town Hall Meetings, please stop by the Benefits office at Human Resources.

    The questionnaire MUST be completed (in pencil) before your scheduled appointment and you must bring it with you to your scheduled appointment.

    Note: When completing the questionnaire, the group ID number box should be left BLANK.

     Town Hall Meetings
    Last Thursday the AU Board of Trustees voted the 2006 – 07 budget. Included in that budget proposal were two provisions related to benefit adjustments. One of those relating to educational assistance for dependent children involved a proposal to make a policy change. It was therefore a separate action item on the board’s agenda. The other, related to the healthcare plan, did not require board approval as a separate item since it did not involve policy change and was therefore approved as part of the overall budget proposal. Both benefit recommendations were approved as submitted by the Financial Management Committee to the Board Finance Sub-Committee and forwarded to the board.

    Beginning, July 1, the educational assistance policy will reflect changes in the amount of support available for dormitory students. A summary of the changes can be found at http://www.andrews.edu/HR/ben_educational.html.

    The healthcare adjustments include changes to the premiums on all three plans with provisions for a discount on the increase for employees and spouses who participate in the upcoming health screens. There will be additional changes made to the Premier health plan as well.

    All of this will be explained in detail at town hall meetings in the Wolverine Room at the cafeteria. Please plan to attend one of these meetings:

     Free Men\\\'s Health Fair
    A free health fair for men will be hosted by the First Church of God and the First Congregational Church of St Joseph on February 11, 2006 from 9 a.m. to 12 noon at the First Church of God located at 2627 Niles Avenue in St Joseph.

    The event will showcase health information targeted at men\'s health issues. At 10 a.m. Dr. David Terhune of Lakeside Urology and Continence Center will discuss important information on the prevention and treatment of prostate cancer. The first 100 men in attendance will receive free blood pressure, non-fasting cholesterol, body composition and skin cancer screenings provided by Lakeland Regional Health System.     ADMINISTRATIVE DATA TOOLS AT ANDREWS
    For: Office professionals

    If you work in an office, this training session is for you! This seminar will provide an overview of online tools to:

    • Obtain academic records, financial statements, salary budget reports, and your paycheck information.
    • Find out if your department was charged using online IDC (Interdepartmental Charges) feature.
    • View students’ class standing and class schedule on the iVue.
    • Find out prospective students’ status on preVue.

    Do you have access to these online sites? Find out about security systems and passwords, and proxies. Learn what terms like Internet Native Banner, Vault and Redwood mean.      Human Resources - Weight Watchers
    Start the new year right with Weight Watchers at Andrews! An information session will be held on Thursday, January 12th at 12:15p in the Lincoln Room. Bring your lunch and learn all about this exciting program. See yourself 20 lbs. thinner with the magic mirror!

    Weekly meetings will be held on Mondays at 12:15p starting January 23rd. The 12-week session is $159. Everyone that joins will receive a gift bag with Weight Watchers products.      Human Resources – New medical insurance cards
    Please come to the Benefits office to pick up your NEW medical insurance cards.

    The State of Michigan has recently passed the Social Security Number (SSN) Privacy Act. This new law requires that as of January 1, 2006 no more than four consecutive digits of any person’s SSN:
    · May be printed on member identification (ID) cards
    · May be made visible in any mailings sent by IBA Self Funded Group, and
    · May be used in the “subject” line in any e-mail sent outside of IBA, unless the e-mail is sent through an e-mail security system.

    To comply with this requirement, IBA has issued new cards with computer-generated, unique, 9-digit ID numbers that replace SSNs.

    Effective December 2, 2005, IBA and Pharmacare will be using the new ID numbers and your old cards will no longer be valid.

     Important Meeting on Benefits
    This is a reminder from the Human Resources Office of the important medical benefits meetings to take place today. We will be making decisions corporately and individually about our medical benefits within the next few months. This meeting will provide additional information for you to make an informed decision about your medical benefits.
    Individuals from the consulting groups and the actuarial consultants will be on hand to answer your questions. Specific numbers will be provided regarding the costs of the different options.

     Health Insurance Information Sessions
    Dear Andrews University Employee:

    Do you still have questions about the changes to your health insurance? In order to answer your questions, the Human Resources Department will be hosting four information sessions starting next week.

    Plan to come to one of the following meetings:
    • Thursday, March 17th from Noon - 1pm

    • Thursday, March 17th from 4 - 5pm

    • Thursday, March 24th from Noon - 1 pm

    • Thursday, March 24th from 3 - 4pm

    All meetings will be held in the Wolverine Room at the cafeteria.

    The consultants will be at each meeting to offer more details about the Health Savings Account (HSA) option and answer any questions you may have. We forwarded the questions that you\'ve submitted to the consultants. Expect to have these addressed at these meetings as well.

    In addition to the four general meetings, you also have the opportunity to sign-up for a 20-minute, one-on-one meeting with a consultant by calling Ext. 3886, or emailing benefits@andrews.edu. One-on one sessions will be scheduled after the meetings from 1-3pm on both days.

    We look forward to your participation in these meetings.

     Memorandum from Daniel E. Agnetta, Human Resources Director
    Over the last two weeks many of you have attended meetings related to the University’s benefit costs. You heard what the challenges and issues were. You also heard what was being done to address those concerns. A pledge was made to you that while we were very seriously looking at steps which could be taken to help control these costs, no action would be taken without proper analysis and preparations – this included a commitment to slow this process down if it did not look like a January 1st transition could be met.

    After last Thursday’s meetings with the benefit consultants, additional meetings were held with all of our healthcare partners, Pinnacle Insurance Partners, IBA and Donlon & Associates. At the conclusion of that meeting, it was agreed that while we might be able to make a January 1st deadline, none of the parties involved would be satisfied based on the requirements to carry out the transition and therefore could not guarantee a quality effort.

    Therefore there will be no changes effective January 1, 2005. We will begin the open enrollment period immediately with everything remaining in a status quo position with the exception of one area – the Flexible Spending Account (FSA).

    If changes are to come, they will come effective July 1, 2005Due to that possibility, there will be a short plan year for the FSA. The next plan year will run from January 1, 2005 through June 30, 2005. As a result, those of you who are planning for healthcare and dependent care expenses using the FSA will need to plan for expenses that will be incurred between January 1, 2005 and June 30, 2005.

    However, there will be another enrollment period in May for the new health plan year which will begin on July 1, 2005. At that time there will be another opportunity to enroll in the FSA depending on the options available at the time for another twelve month period.

    In the mean time, please complete the forms enclosed and return them as soon as possible. More informational meetings will follow through the rest of this year as early next year.

     New Medical ID Cards (No Change in Medical and Vision Coverage)
    IBA Network has been restructured and is now known as the IBA Select Network. This name change is reflected on the top left corner of the new cards. Other than the name change, your medical and vision coverage has NOT changed. These cards are to be used on and after July 1, 2003.

    The new cards are available to be picked up from the Benefits office at the Human Resources Department starting Monday, June 30. At that time please destroy your old medical identification card. To ensure that the cards do not get lost and also to allow us to verify and/or update your (and your dependent(s)') information pertaining to your medical insurance coverage, we request your patience and cooperation during this process.

    For your vision needs, please feel free to pick up the new Rx Optical $5 coupons and a Vision Advantage Program membership card that offers an additional discount at Rx Optical.

     Payroll - 4th of July information
    With the 4th of July falling on a pay Friday this year, the Payroll department has arranged a slightly modified schedule for this pay period.
    1. Payday will be Thursday, July 3. The checks will be available for pick up at the Payroll office at 8:30 am, Thursday, for the designated departments. If your checks are sent in the mail, those will arrive at the normal delivery time on Thursday rather than Friday. For those with Direct Deposit, the money will be in your account Thursday morning.


    2. For Time Keepers & Hourly Employees: Time must be submitted to Payroll via the website by 12 noon, Monday, June 30. After this point, we will be unable to accept submissions. If there are any one-time contracts or bonus pays, those must be delivered to the Payroll Office by 12 noon as well. Any missing hours or contracts received after this deadline will be applied to the July 18 paycheck. Due to the tight schedule, Payroll will not be able to make any exceptions to this time deadline, so please plan accordingly.


    3. Holiday Time: The 8 hours of holiday time due for the 4th of July will be divided into two 4-hour half days. The actual 4th of July holiday will be recorded as 4 hours for Friday. The final 4 hours owed will be applied to Friday, December 26, extending the Christmas vacation by half a day.

     Office Restructuring
    In a continual effort to provide quality service more efficiently, the Human Resources Department has been gradually but steadily restructuring itself over the last year and a half. To that end, several changes have been made most recently. They include:

  • A centralized Employment Office, located in the lobby, will now handle the processes of general recruitment, selection, evaluation, performance and termination of all employees, i.e. staff, faculty, and students. Lori Guerrero will be at the helm of this office as the Employment Coordinator. She is currently interviewing for an assistant.


  • Student Insurance has been moved to the Benefits office under the supervision of the Benefits Specialist, Violeta Paraschuk. Our graduate student, Gily Ionescu, will remain as the Student Insurance Advocate until August of this year.


  • Kelly Vozar has taken on the position of Payroll Supervisor with Amy Bower serving as Payroll Assistant. The task of managing work study positions has been assigned to payroll.


  • Natasa Mihajlovic, the Administrative Assistant, has also assumed the responsibilities of Service Records Assistant, in charge of retirement issues.


  • Iris Chuah, in her role as Assistant Director, will assist Dan Agnetta, the Director, in evaluating and developing a compensation strategy, job analysis, policies and procedures; analyzing HR information systems; monitoring unemployment issues; and handling general administrative duties.


  • The Training and Development function is still in the planning stage.


  • Please feel free to come by our department and we would be glad to answer any of your questions on HR.

    In our efforts to become more efficient, the Employee Benefits department is additionally striving to provide more convenient benefits to our employees. While we encourage our employees to take advantage of the free class benefit, we must ask that the form that you submit be a current, up-to-date form. Old forms can be misleading due to the outdated information they contain. Therefore, we are requesting that all departments and employees discard these outdated forms. In addition, before completing and submitting any form to Human Resources, please verify that the form you are using is a current form to ensure it’s validity and appropriateness.      Important Announcements
    Accidental death and dismemberment insurance and supplemental life insurance

    For employees with Accidental Death and Dismemberment insurance and Supplemental Life insurance coverage, payments will be made via biweekly payroll deductions for 24 pay periods beginning with the pay day on January 3, 2003. There will be no payroll deduction for these insurance payments on the last pay day of the months that have 3 pay days and for the year 2003 those months are January and August.


    Give to the United Way

    Please remember to give your Christmas gift to the United Way this year. Pledge forms were mailed out several weeks ago, but if you didn't receive yours or have misplaced it, please call Human Resources at 3302. You can still give and help this valuable organization in our community.

     Flexible Spending Accounts
    Open enrollment for the flexible spending plan starts from November 25. This is a plan where you can set aside pre-tax dollars for out-of-pocket medical expenses and dependent day care. Enrollment for this wonderful benefit option expires December 13, so don't delay.

    Human Resources Office send this forms to you via interdepartmental mail on Monday, November 25, 2002. Please turn in your pledge forms to Human Resources not later than Friday, December 13.

    Thanksgiving Holiday - Thursday, November 28 and 29 (1 and 1/2 days) are official Andrews University holidays. All offices are closed.

    Hourly employees who wish to be paid for the holidays may turn in paid leave for the 1 and 1/2 days to their timekeepers before they leave for vacation or at the latest, before Monday, December 2, 2002, 10 a.m. to enable the timekeepers to enter the time for payment the following pay day.

    Also, for those who have deductions made to Liberty Mutual, please be reminded that your automobile and/or homeowners' insurance payments will be deducted biweekly beginning with the pay day on December 6, 2002.
