STATEMENT

The activities of student organizations, including all honor societies, are an important part of the university operations whether they be academic, governance, or social in nature. To ensure that their records are maintained properly and that they are transferred to the AUARC for permanent retention requires cooperation between these organizations and the AUARC.


RESPONSIBILITY OF THE ORGANIZATIONS GENERATING THE RECORDS

1. Chairs/Sponsors of all student organizations are encouraged to invite the AUARC to discuss with them the creation, maintenance, archival retention, and transfer of records.

2. Records of such organizations should be transferred to the AUARC when they are no longer active records.

3. Records which should be transferred to the AUARC include but are not limited to:

     3.1 committee agendas and minutes

     3.2 activity schedules

     3.3 charts/names of officers and participants of scheduled events

     3.4 substantive correspondence

     3.5 newsletters and other publications

     3.6 news releases

     3.7 reports.
