Office 365 for People Leaving Andrews

Overview

Andrews Office 365 accounts are assigned based on whether you are a current student or current regular employee.  Individuals with multiple campus affiliations retain access as long as one eligible role remains. When all eligible roles are removed from an individual’s Andrews username, you will immediately lose access to your Andrews Office 365 account.

NOTE:  ITS cannot provide an exact date for when a student's or employee's affilication changes and they lose access.  For students, it is generally dependent on the start date and ending date of your classes.
For emloyees, it depends on when their department submits changes to their role at the Office of Human Resources.  This process is solely handled by each department and they do not inform us of their schedule for doing this.
For this reason, any preparation like downloading/transferring personal Andrews Office 365 files should be done before your gradudation or termination date.

All files stored within your Andrews Office 365 OneDrive and Sharepoint will be inaccessible!
You will not be able to edit Office documents again until you have a new, personal, paid license for Office 365. You may also use Andrews Google to access and edit the documents.

Exchange Email Accounts (applies to out-going employees only)
Office 365 account remain intact for emertius faculty who retain all standard computing services.
Andrews University email addresses (@andrews.edu) cannot be used for personal Office 365 accounts. They are reserved for enterprise Andrews Office 365 accounts only. If you choose to personally purchase Office 365, do not use an @andrews.edu email address.

Retaining Your Files from OneDrive

Saving Your Files
Option 1: Download files and folders from OneDrive or Sharepoint using the web app.

Option 2: If you have a large number of files in OneDrive, you may want to use the OneDrive sync client (Windows | Mac). Remember to turn off, disable or uninstall the OneDrive sync client after moving your files.

For either option:

  • Delete any files that remain in OneDrive after downloading them.
  • Files will be read-only unless a licensed version of Office is present or until uploaded to Andrews Google Drive.

Moving Your Files to Google Drive
ITS recommends transitioning your files from OneDrive to Andrews Google Drive. Andrews Google accounts are available to all active faculty, staff, students, retirees, and alumni. Alumni and retirees who do not have an Andrews Google account can contact helpdesk@andrews.edu to get one.

Uncooperative Departures

Involve your ITS technician as soon as possible so Andrews University Office 365 Administrators can assist in:

  • Preserving the contents of an account
  • Moving Andrews Office 365 files and folders from one account to another
  • Inactivate the Andrews Office 365 account access sooner than the automated process
  • Download university data from the person’s account if time is critical
